Administrative Assistant Job at Aventura OB GYN & Associates
Responsibilities and Basic job duties:
- Support day-to day operations by performing administrative tasks and ensuring high quality customer service for our patients.
- Answer, screen and manage telephone calls in a courteous manner, documenting any necessary messages for billing or clinical staff.
- Schedule patient appointments and procedures according to established policies and procedures, understanding basic insurance and clinical operations.
- Obtain accurate information from patients and ensure all registration steps are complete.
- Verify patient account balances and understand benefits coverage in order to accurately collect patient balances over the phone or while patient is checking in for appointment.
- Electronically label records in appropriate sections of patient electronic charts, keeping patient charts organized.
- Prepare for upcoming day of appointments by completing proactive tasks, such as ensuring authorizations/referrals/medical records have been received, appointments are confirmed, all forms are complete, etc.
- Transcribe patient letters and create forms as needed.
- Exhibit and maintain a high degree of professionalism and decorum in all situations, in addition to confidentiality, flexibility, and accountability.
- Timely process medical records requests for patients and/or organizations appropriate release.
- Track and ensure medical records are received for certain appointment types.
- Proficient in multitasking and prioritizing.
- Ability to perform various tasks on a daily basis.
- Exceptional communication skills with the ability to perform "behind the scenes and provide non-clinical support to the clinical team and providers.
- Ensures that the medical facilities smooth operation by accurately completing admin tasks in a timely manner.
Requirements:
- Proven one year working experience in healthcare admin required.
- Hands on experience working with electronic medical record and Microsoft Office required, Athena preferred.
- Knowledge of healthcare operations.
- Familiarity working with medical and insurance legislation is a plus.
- Customer-oriented communication skills.
- Bilingual English and Spanish is required.
