The Purpose
To assist in achieving the company’s Vision and optimize the company’s cash flow by maintaining quality vendor relationships and insuring timely payment of accounts.
Essential Job Functions
Strategic Work:
  • Ensure accounts payable team members acquire necessary skills and performance attributes, including training on new or enhanced operational procedures, policies and internal controls
  • Identify process improvement initiatives and define standards for new processes
  • Manage monthly close process for accounts payable
  • Provide guidance to and share knowledge with team members as it relates to vendor payments and processes
  • Hire, develop and retain accounts payable staff by recruiting, selecting and training team members; also provide coaching, counseling and disciplining of direct report team members.
Tactical Work:
  • Daily supervision of accounts payable team members
  • Preparation and delivery of annual team member evaluations
  • Provide technical support to accounts payable team members for Great Plains, Gorilla, Papersave and any other software used in the accounts payable process
  • Ensure accuracy of annual 1099 process including training team members and establishing processes on 1099 requirements
  • Initiate interview process for new hires into accounts payable roles
  • Assist in onboarding process for new team members
  • Prepare credit applications for all companies
  • Set up new vendors and establish internal controls within processes to reduce risk of fraudulent vendor payments
  • Review checks and invoices under $2,500 for adherence to policies and accuracy of payments
  • Ensure accuracy of accounts payable sub-ledger to general ledger at all times
  • Provide support for team members in back-up role for vacation and/or high volume work efforts
  • Coordinate with Controller on information needed for external auditors
  • Respond timely to questions regarding accounts payable information from management, communities and vendors
STANDARDS:
Position-Specific:
  • Major vendor statements will be reviewed and reconciled on a monthly basis 85% of the time
  • Ensure all administrative bank accounts are reconciled by the 8th day of the month 85% of the time
  • Meet month end close deadlines as provided by Controller 85% of the time
  • Complete new vendor credit applications within policy guidelines 85% pf the time
  • Ensure that all 1099s are issued by deadline set by the Internal Revenue Service
Qualifications
  • High School diploma or GED and a minimum of 2 years’ experience as an Accounts Payable Supervisor required
  • Strong customer service skills and excellent written and oral communication skills
  • Attention to detail/high level of accuracy
  • Flexible, strategic team player with infallible integrity and ethical standards
