Title: Student Records Representative
Bargaining Unit/Salary Level: Pending Classification
Responsibilities:
SUMMARY: The Student Records Representative serves as the front-line customer service position in the Records and Institutional Research Office. This position will process confidential information in student records using a high level of analysis, judgement and accountability. Additionally, the representative will assist the Director and Assistant Director of Records and Institutional Research in performing functions of student records and registration and the general management of the Records and Institutional Research (Registrar’s) Office.
ESSENTIAL DUTIES include the following, however, other duties may be assigned.
Maintains paper and electronic student files with data entry of student information, i.e. matriculation, registration, change of major, change of status (suspension, etc.), graduation and other loss of matriculated status.- Reviews and processes transcripts from other colleges and universities to determine transfer credit.
- Reviews and processes transcript requests received from current and former students.
- Processes non-matriculated student information and registration, including the general public and high school programs, i.e. dual enrollment, concurrent enrollment.
- Data entry and maintenance of course schedules each semester.
- Processes requests for room reservations for events and meetings throughout the year for the entire campus.
- Provides support and assistance for instructors regarding students, classes, grades, forms, etc.
Minimum Qualifications:
- Associate Degree
- Proficiency in computer skills with 2+ years of experience using a Windows operating system and Microsoft Office Suite (Word, Excel, etc.)
- Knowledge of and experience with processing confidential information while using a high level of analysis, judgement, and accountability
- Excellent customer service, oral communication, interpersonal and problem-solving skills
Preferred Knowledge, Skills, and Abilities:
- Bachelor’s Degree
- Proven successful experience in a records/registrar office
- Experience in a higher education environment, especially in a community college setting
