Salary Range: $85,000 -$95,000

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Senior Director of the Grants Management Office (GMO), the Senior Grants Manager will be responsible for all aspects of sponsored research administration (pre-award, post-award, award management, and award closeout functions) for a specific portfolio of research projects within the School of Nursing (SON). On a daily basis, s/he will work closely and cooperatively with the Senior Director and Assistant Director of the GMO and other Grants Managers, as well as with faculty and graduate students involved in sponsored research activities within SON.

Responsibilities

Pre-Award: The Senior Grants Manager will take the lead in all pre-award administrative aspects of research applications within the specified portfolio including those submitted by PhD Program students. Pre-award duties include, but are not limited to:

Prepare and coordinate the submission of required documentation for all new or revised/resubmitted sponsored research proposal applications to Sponsored Projects Administration (SPA), including reviewing the call for proposal, meeting with the PI and team, highlighting restrictions, due dates, and budgetary issues, collecting data from collaborators, ensuring timely submission, etc. – including tracking all submissions.

Create budgets including budget justification based on input from PI.

Prepare and coordinate the submission of required documentation for all non-competing renewals of currently funded projects to SPA (e.g., annual progress reports, no cost extension requests, etc.) – including tracking all submissions.

Prepare and submit ARC project budget set up information to SPA based on proposal submitted/award received, and input from PI.

Prepare and submit personnel appointment/change forms to SON HR including training grant appointments.

Collaborate with counterparts in other CU departments on inter-departmental/inter-school submissions.

Serve as subject matter expert within SON on research-related issues.

Serve as backup for the other Grants Managers in times of absence.

Maintain all proposal information and forms in SON GMO database including biosketches, support pages, faculty publications and awards, and research resources boilerplates, etc.

Post-Award: The Senior Grants Manager will take the lead in all post-award administrative aspects of research awards within the specified portfolio. Post-award duties include, but are not limited to:

Direct day-to-day monitoring of award activity to ensure expenses are in compliance with University and agency requirements.

Manage and track expenses on awards including changes to personnel and projections.

Reconcile all projects monthly and make corrections to charges as needed.

Produce monthly/quarterly reconciliations and financial reports including forecasting future expenses.

Meet with Faculty members monthly/quarterly to review financial reports, communicate status of requested changes, gather input on projections, and offer suggestions as needed.

Prepare and submit all changes to budget to SPA.

Prepare and submit all subcontract information to SPA.

Prepare and submit financial reconciliations for project year end and final financial reporting to Sponsored Projects Finance (SPF) as required by terms of award.

Coordinate with SON and CU finance staff on the resolution of Accounts Payable and Personnel/Payroll discrepancies as they relate to research projects.

Prepare and submit closeout information to SPF including final reports (progress reports, invention disclosures, etc.).

Collaborate with counterparts in other departments, as well as others across the University to manage awards (i.e. Controller’s Office, Central Purchasing, Gifts and Endowment Office, etc.).

In addition to the above responsibilities of a Grants Manager, the Senior Grants Manager will have an elevated role on the GMO team in direct support of the Senior Director:

Assist the Senior Director with HR-related functions including reviewing and completing new hire forms with relevant onboarding information.

Attend and present information about GMO at various meetings and events including new staff orientation, CUSON Directors meetings, trainings, and various other faculty and staff meetings.

Assist the Senior Director with grants data collection and analyses.

Provide coverage for the Senior Director and supervision of the Grants Managers in times of the Senior Director’s and Asst Director’s absence.

Provide overall pre- and post-award support to the GMO team.

Perform other responsibilities and projects as needed and assigned by the Senior Director.

Minimum Qualifications

Bachelor's degree from an accredited institution or equivalent combination of education and experience, plus a minimum of four (4) years of related experience.

Intermediate-level computer literacy (all facets of Microsoft Office).

Superior communication skills (written and verbal).

Must have exceptional time-management and organization skills, excellent analytical and problem-solving skills, as well as be proactive and able to work independently.

Ability to work with confidential data and demonstrate discretion in all interactions is required.

Grant writing/editing is also required, as well as familiarity with Federal and Non-Federal sponsored research guidelines, policies, practices, funding sources, websites, and organizations.

Experience with internal Columbia University financial systems is necessary.
