Position Summary

Under the supervision of the Division Director for Allied Health, the employee provides administrative support to the programs and personnel. The employee performs general clerical duties, creates and maintains required records, and assists students and staff as needed. Directly supports the operations of all Allied Health programs.

POSTING DATE: MAY 9, 2023

SALARY: Appropriate placement on Salary Schedule E4 05 (range: $32,966 - $48,728).

ANTICIPATED START DATE: JUNE 1, 2023

The position will be based initially at the Wallace Campus in Dothan.

More than one position in the same job classification may be filled from the applicants for this position should another vacancy occur during the search process.

Essential Duties and Responsibilities

ESSENTIAL FUNCTION: General Clerical. Employee performs clerical duties to assist the Allied Health program in its efficient operation.


  • Answers telephone; answers general inquiries and/or routes to the appropriate office or individual.
  • Takes and relays phone messages for staff and instructors.
  • Composes, prepares, and disseminates correspondence.
  • Schedules meetings and appointments.
  • Greets walk-ins and visitors, assesses needs and provides relevant information about the Allied Health program
  • Type’s memos, letters, emails, and other correspondence as required.
  • Establishes and maintains filing system.
  • Prepares requisitions and purchase orders for supplies, books, and other materials as needed.
  • Maintains office supply inventory.
  • Sends maintenance and MIS requests as needed.
  • Provides administrative support during hiring process.
ESSENTIAL FUNCTION: Records. Employee creates and maintains required records in accordance with relevant policies.
  • Maintains computer-based filing system for forms and materials.
  • Collects and records graduate and employer survey data; prepares and distributes surveys.
  • Maintains clinical affiliation mailing list.
  • Assists in researching records for completion of reports.
  • Maintains instructional records to include grade/attendance records and syllabi for completion of reports submitted to outside agencies.
  • Collects, reviews, and scans health records for all Allied Health students.
  • Collects, reviews, scans, and maintains Allied Health faculty health records and credential and license renewals.
ESSENTIAL FUNCTION: Student/Program Support. Employee provides operational support to the Allied Health program, and facilitates admission and registration of students.
  • Creates and prepares application packet materials, documents for program staff, student handbooks, and clinical handbooks other program publications.
  • Prepares and disseminates clinical affiliation contracts.
  • Assists in preparation of accreditation documents for programs and on-site visitation teams.
  • Provides information on admission requirements and procedures for Allied Health Programs in person, by telephone, by mail, or electronically.
  • Creates and posts application deadline information.
  • Receive Allied Heath application packets; review and score applicant information; submit to appropriate personnel for review and selection.
  • Types and sends application status letters.
  • Schedules and assembles materials for new Allied Health student orientation sessions.
  • Assists students with advising and registration process.
  • Performs other duties as assigned.

  • Reports to work on time, at appropriate workstation or department during all departmental/position scheduled work days and during all departmental/position scheduled work hours.

  • Ensures that service to students and the general public is top priority.
  • Demonstrates a considerate, friendly, respectful and constructive attitude toward fellow employees and students.
  • Adheres to all College and System policies and procedures.

Qualifications

  • Possession of an Associates degree from an accredited institution is required.
  • One year general clerical experience in a business office or in a service-related field is required.
  • Previous experience in higher education is preferred.
ADVISORY COMMITTEE: The President will appoint an Advisory and Interview Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interview, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. From all the applications received, an advisory committee will select the applicants to be interviewed.
