Position Summary:

The Receptionist at Data-Tech serves as the face of the company by greeting incoming clients, vendors, and visitors, as well as being the first point of contact for incoming calls and appropriately routing calls as needed. The Receptionist is responsible for creating a uniquely personalized and welcoming experience for everyone who enters Data-Tech’s facilities by ensuring visitors are checked in and escorted to their destination. The Receptionist also performs a variety of administrative and clerical duties to facilitate business operations, which may include data entry; internal and external communications (written and verbal); managing calendars for Leadership Team; coordinating meetings, networking events, or travel arrangements; preparing reports and other documentation, and keeping the lobby and front office presentable for employees and guests alike. The ideal candidate for this role will have an enthusiastic and upbeat personality, strong customer service and communication skills, and a desire to help others by facilitating a culture of organization and productivity.

Essential Duties and Responsibilities:

  • Answer all incoming calls using a multi-line VoIP phone system, address general inquiries, and transfer calls to appropriate department or team member when necessary.
  • Organize, file, and maintain company documents and databases, maintaining strict confidentiality.
  • Organize and maintain supply closet, reordering office supplies when needed.
  • Collect incoming mail and packages, deliver to intended recipient.
  • Prepare postage for outgoing mail.
  • Greet all customers, vendors, and visitors and ensure every guest who enters the building is checked in properly and given an ID badge.
  • Monitor kitchen cleanliness and tidy break room throughout the day.
  • Ensure conference rooms are cleaned and ready to go before and after between meetings.
  • Assist HR with scheduling interviews as needed and manage Applicant Profiles using internal Applicant Tracking System.
  • Keep lobby and reception area organized and clean.
  • Coordinate office support services with vendors, such as facility maintenance, vehicle maintenance, food and beverage vendors, etc.
  • Additional administrative and clerical duties as needed to support operations.

Knowledge, Skills, and/or Abilities Required:

  • Ability to collaborate, establish, and maintain credible and influential relationships at all levels with clients and team members.
  • Experience with scheduling and coordination including scheduling travel arrangements and corporate meetings.
  • Ability to multi-task and adapt to changes quickly in a dynamic, fast-paced environment.
  • Ability to effectively communicate with team members and partners including excellent written and oral communication skills.
  • Ability to successfully prioritize multiple tasks with competing objectives.
  • Willingness and commitment to ongoing learning and development.
  • Excellent time management and organizational skills.
  • Ability to work on multiple priorities and /or projects simultaneously in a fast-paced environment.
  • Organization, Attention-to-Detail, Professionalism and Confidentiality are a must.
  • Willing to take initiative, work proactively, and be self-motivated.
  • Advanced skills in Microsoft Office and Outlook - must be able to create and maintain spreadsheets.

Education and Experience:

  • High School Diploma
  • Previous experience working in an office environment required
  • Experience as an Executive Assistant, Administrative Assistant, or similar role preferred

Physical Requirements and Working Conditions:

Must possess the mobility to work in a standard office setting (on site or off), and to use standard office equipment, including a computer, concentration to maintain attention to detail despite interruptions, strength to lift and carry objects weighing up to 50 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and/ or over the telephone. Must be able to sit/stand for extended periods of time. Must be able to drive a motorized vehicle.

Job Type: Full-time

Pay: $15.00 - $17.00 per hour
