Functions of a Program Coordinator:
We’re looking for a proactive professional who would coordinate various services and provide supervision, direct support, and community‐based training for individuals with intellectual/developmental disabilities in the areas of community integration, education, self‐advocacy, self‐care, vocational training, and supported employment. This is a lead role, you will supervise staff comprised of Level IV.5; Level IV; Level III.5; Level III; Level II; Level I; aides; clerks; independent contractors; volunteers and interns to ensure that together, you and your team would support the participants effectively in reaching their individual goals as outlined on their ISP document.
We are looking for a collaborative coordinator who is committed, adaptable to new concepts that would promote a person-centered living for our participants and would lead the staff by excellent example. A background in Film & Media is desired but not required.
Specific Duties:
- Works with the Director of Film & Media Services in support of overall program operations, including participant program coordination, fiscal records, property management, staff training, technology, and vehicle management, to implement the Practical Film & Media Studio program and its components.
- Assists with intake coordination, placement, training, and orientation of new participants, addressing job retention issues as needed, and discharge of exiting participants.
- Oversees participants’ permanent files; Maintains participant database (Case Magic) and records; Documents and maintains all participant personal, program, and emergency information.
- Develops Individual Service Plans (ISP’s/IHSP’s), including the supports, activities, and resources required for clients to achieve personal goals;
- Oversees and completes daily casenoting; Evaluates and summarizes client progress in written form for annual and semi‐annual meetings;
- Prepares and/or reviews ISP/IHSP summaries; Attends annual and semi‐annual meetings; Distributes annual Satisfaction Surveys; Updates changes in goals and information; Prints monthly ISP/IHSP sheets.
- Aids in other sites (Stockton/Sacramento) as needed.
- Supports, supervises, trains, and instructs staff and participants as needed..
- Ensures participants receive opportunities and support in choice‐making, self‐expression, creativity, and the skills to advocate for themselves.
- Acts as an advocate to promote and protect the rights of participants; Ensures individuals are treated with dignity and respect; Supports participants in advocacy and self‐advocacy actions; Ensures participants have access to legal entities, self‐help support services, and advocacy support services
- Supervises and ensures appropriate behavioral supports are identified, trained, and implemented to ensure maximum participation in the program.
- Drives company vehicles as needed.
- Records/reviews daily attendance, approves semi‐monthly and end of month reports, submits the billing for all services provided to accounting, and compares monthly billing reports to ADP and Case Magic entries for accuracy, as needed.
- Ensures program files and procedures are current and organized, according to agency, accreditation, and all regulatory statutes and standards.
- Assists with CARF accreditation preparation and compliance of standards.
- Promotes and maintains positive public relations with the developmental disability community, care providers, case managers, other professionals, and the community; Develops and maintains relationships with participants, families, and significant members of the support team; Attends meetings and events in the community.
- Recruits, hires, and trains qualified staff to ensure services and supports are provided and policies, procedures, and regulations are followed, and provides orientation and introductory training to new staff.
- Trains and supports direct service staff in providing participant support, training, and supervision in the areas of communication and accessibility, including the use of assistive technology, communication devices, and adaptive equipment, in healthy and safe practices as well as the safe use of supplies and equipment, and in travel training and transportation skills.
- Schedules and oversees regular staff meetings.
- Ensures that staff receive a minimum of 8 hours of training per year and ongoing review in performing services and supports, and document it on their Staff Training Log.
- Performs job duties of absent Director or staff and provides direct support to participants as necessary.
- Evaluates staff performance by documenting/reporting observations of right and wrongdoing, soliciting feedback from participants and community members, and participating in performance feedback meetings, such as performance reviews and counseling statements.
- Terminates the employment of staff when necessary, according to company guidelines under the direction of the HR department.
- Supports the Human Resources department in hiring procedures and orientation of new staff as well as discharge of all exiting staff.
- Manages staff work schedules, including scheduling, approving time off requests, ensuring coverage, and adding to the calendar; Performs timecard and payroll preparation duties.
- As a member of the Health & Safety Committee, attends Health & Safety Committee meetings, assists with coordination of Health & Safety program, provides monthly trainings to staff and participants, holds regular emergency drills, orders and distributes first aid and disaster supplies as needed, and performs site inspections.
- Keeps the Director of Film & Media Services and the Executive Director apprised of all participant, personnel, program, and administrative matters of import.
- Organizes work by checking and responding to all communications (voicemail, texts, email, in‐box, etc.) and completing all required documentation and paperwork (program, safety, payroll, etc.) in accordance with site/service quality standards, practices, and deadlines.
- Maintains office, program, and work spaces, keeping them neat and organized; Performs incidental job duties, such as cleaning, as required; Assists with maintenance of the work facility and premises as applicable.

- Implements Futures Explored policies, rules, and operating procedures, and general Human Resource principles including standards relating to health and safety, time and attendance, meal breaks and rest periods, attitude, and manner, and conduct toward participants and others.
- Understands, adheres to, and upholds labor laws and regulations, Lanterman Act regulations, Regional Center guidelines, and State of California Licensing regulations.
- Ensures and protects the confidentiality of Futures Explored information, including that of participants, staff, supervisors, and outside contacts, and all other proprietary information.
- Complies with the Dependent Adult and Elder Abuse Requirements as specified in Community Care Licensing’s Title 22.
- Receives and maintains current training in First Aid/CPR/AED by a qualified instructor of the American Red Cross.
- Receives and documents a minimum of 30 hours of continuing education every 24 months of employment, and upholds the agency Staff Training Plan.
Driver and Vehicle Responsibilities:
- Possesses and maintains valid CA Driver License and insurable driving record, and evidence of auto insurance for personal vehicle driven for company business.
- Adheres to state driver, vehicle, traffic, and highway safety rules and regulations.
- Implements company driver and vehicle policies and procedures.
- Assists with management of the PFMS vehicle fleet, including registration, insurance, vehicle safety inspection reports & trip logs, vehicle accident reports, vehicle repair requests, and vehicle maintenance.
- Oversees and documents driver and vehicle training, including vehicle operation, rules & regulations, use of equipment, passenger safety &assistance, emergency response procedures, and accident reporting practices, with emphasis on communicating with Futures Admin.
- Ensures that company‐owned vehicles and personal vehicles driven for program use are inspected and stocked with required first aid and emergency supplies.
- Ensures that vehicles are kept free from damage, in acceptable condition, and consistently clean and accessible to passengers.
- Ensures that a vehicle inspection is performed before and after each use of a vehicle, is documented accurately on the Vehicle Inspection Report form, and the report is turned in at the end of every month; Immediately reports up any vehicle damage or mechanical malfunctions that exist.
- Oversees the maintenance of company‐owned vehicles through preventative and routine maintenance (e.g. checking fluid levels, fueling, cleaning, etc.) for the purpose of ensuring safe operation of the vehicle.
Qualifications and Education Requirements:
- A Bachelor’s degree in Psychology, Social Work, or a related human services field and a minimum of one year experience in the management of a human services delivery system, OR
- Three or more years’ experience in human service or educational organizations, including at least one year in a management or supervisory position and two years of experience or training in providing community integrated experiences, including community college, employment support, and advocacy opportunities and expertise in specific program areas.
