Job Title: FT Academic Services Compliance Office Support Staff
Classification: Operations Support
Work Schedule: 40 hrs/week, 8:00 a.m. to 5:00 p.m. (1 hour nonpaid lunch)
Must be flexible to attend evening Advisory Board Committee Meetings.
Salary Range: $13.72 - $18.65 (Salary offers are non negotiable and offers are determined and are based upon related work experience submitted on resume.)

Summary:
Provides support for the Academic Services, Perkins Grant, and Academic Compliance Office. Provides support as to the compliance responsibilities for Accreditation, Curriculum, Assessment, and Articulation. Provides clerical support for Academic Services and the Dean of Business, Legal, Social Services, Accreditation, Curriculum and Assessment and the Associate Dean of Curriculum, Assessment, and Articulation.
This position reports to the Dean of Business, Legal, Social Services, Accreditation, Curriculum and Assessment.
Salary is restricted to above range and will not exceed the maximum of the range. Salary offers are non negotiable and offers are determined and are based upon related work experience submitted on resume.

- Receive students and visitors at Academic Services Reception desk or via phone
- Assist the Deans and the Coordinators with preparing part-time and adjunct teaching schedules
- Manage part-time and adjunct contracts and the on-boarding process and other supplementary documentation
- Process forms for class coverage request, travel request and travel vouchers
- Track and processes syllabus submission from adjunct and part-time faculty in respective disciplines
- Manage records and ensures confidentiality of material
- Input and accesses information utilizing SCT Banner, including data entry adjunct and part time faculty payroll budget codes in FLAC
- Work with the Bookstore, Book publishers and Book reps to secure textbooks
- Assist in the development, distribution, and collection of institutional assessment materials
- Provide required institutional and program specific assessment reports
- Support faculty and staff’s requests and inquiries regarding curriculum development and submission status
- Assist in the development and communication of monthly meeting agenda and supporting materials and documentation
- Maintain articulation agreement database and agreements
- Support faculty and staff efforts with on-site accreditation visits and audit reporting
- Record committee meeting minutes, specifically Curriculum Committee, Assessment Council, Program Audit/General Education, Institutional Effectiveness, Perkins Grant, Articulation Committee, Program Advisory Committees and maintain archive of documentation
- Maintain compliance records and files as required by third party partners (I.e. Perkins, SARA, Programs, MSCHE, etc.)
- Tracks salaries, benefits, supplies, equipment, speakers, and other activities funded by the Perkins grant; enters purchase requisitions in Banner; works with faculty and staff to verify delivery of purchases; develops contracts for consultants and guest speakers; maintains budget spreadsheets; follows up on expenditure of funds and develops expense projections.
- Supports the Perkins Participatory Planning Committee meetings three times a year, including maintaining the membership list, emailing meeting notices, making room and refreshment arrangements, and obtaining name tents for new members, and recording and distributing minutes.
- Assists with data gathering for the Perkins grant and performance report, including the new requirements for Perkins V.
- Develops Argos reports for Perkins activity monitoring.
- Edits personnel resumes and works cited for proper format for grants.
- Assists with clerical and administrative tasks.
Required:
Education
Associate’s degree from an accredited institution or a combination of education and experience sufficient to successfully perform the essential duties of the job.- Foreign degrees – must provide a US equivalency report of your degree credentials with your transcript, if not, your resume will not be accepted.
- Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)
- Experience in compliance or quality assurance support.
- Proficient in MS Word, Excel, Google Apps and database software.
- High attention to detail.
- Record management and analytical skills.
- Ability to be confident working with students, staff and the general public.
- Experienced time management and organizational skills.
- Ability to multi-task in a fast paced environment.
- Experienced written and verbal communication skills.

- Bachelor from an accredited institution.
- Experience with Ellucian Banner 9, Apex, and Nuventive TracDat.
While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee may regularly lift and/or move up to 15 pounds and occasionally lift and/or move up to 25 pounds.
