The Department of Workforce Services (DWS) is seeking a motivated and highly skilled Office Specialist I to join our Utah State Office of Rehabilitation (USOR) team in the Downtown District located in Salt Lake City, UT.
Principal Duties
The Office Specialist I performs the following tasks:
- Prepare and issue purchase authorizations and submit invoices for payment.
- Perform basic accounting tasks including tracking and accuracy checks of accounts payable/receivable.
- Assist applicants and clients with disabilities in accessing vocational rehabilitation services.
- Provide exceptional customer service to clients, vendors and community partners.
- Greet and check-in clients and visitors as they arrive.
- Answer and direct incoming phone calls and emails.
- Provide basic information about USOR and the application process.
- Contact vendors for client service purchases on a regular basis.
- Use Google Calendar to track, schedule and coordinate meetings, appointments or other office activities.
- Complete daily out-bound reminder calls to clients.
- Fax, mail, copy, email, and scan/attach documents into the case management system.
- Understand and keep up to date on current fiscal policy and procedure.
- Assist counseling staff with administrative tasks as assigned.
- Process agency documents including reviewing for accuracy and completeness.
- Provide the public and others with information and assistance in completing agency forms and applications.
- Participate in office trainings and meetings.
- Maintain supply inventory and assist in purchasing supplies.
The model applicant for this position is someone who:
- Has at least one year of work-related experience doing office support/basic accounting functions.
- Has experience working with diverse populations including people with disabilities.
- Has excellent communication and customer service skills.
- Has attention to detail when reviewing documents and entering data.
