POSITION TITLE: Office Coordinator- Fergus Falls Office
REPORTS TO: Heather James, Market Center Administrator
OVERVIEW:
The Office Coordinator (OC) position is one-part administrative assistant, one part client reception, one part office manager. The OC supports leadership and agents through a variety of tasks related to organization and communication. The OC will become familiar with a variety of the real estate field's concepts, practices and procedures in order to accurately assist agents and clients. The OC must have the ability to effectively communicate via phone and email; work with a high level or organization and accuracy and with pace! You are the first impression and represent our office with a high level of positivity, friendliness and energy. You will be cross trained in essential duties of our Office Coordinator in the Baxter office as well as you will support each other consistently.
PRIMARY LOCATION: Fergus Falls Office, with in field and location specific work as required
PRIMARY RESPONSIBILITIES:
- Greet all walk-in clients and direct them as needed; ensure all clients are connected with an agent as necessary; provide an outstanding experience for all clients, both in person and by phone.
- Have a relationship-based attitude to build rapport and engage everyone. Treat our agents like our clients and proactively assist when and where needed, communicating to leadership as necessary.
- Maintain and elevate Social Media presence/ internal and external PR type assignments, and marketing through various sources
- Ensure effective communication on the MC’s initiatives and training calendar with the agents.
- Assist Baxter OC with Administrative duties as needed.
- Assist in multiple areas of onboarding new agents as needed from leadership.
- Assist with ALC and ALC committees as requested from leadership.
SECONDARY RESPONSIBILITIES:
- General office supplies, tools, and support- you are the go-to person for all things administrative at the office, including but not limited to; lockbox management, ShowingTime, listing management and maintaining efficient systems and models for tracking and inventory.
- Provide general office assistance and direction where appropriate for activities, recruiting, travel arrangement, training, and other such schedule activities
PARAMETERS OF AUTHORITY:
- Make proactive decisions regarding needs for the common areas you manage.
- Proactively suggest solutions for inefficiencies in systems for max productivity.
- Proactively assist in problem solving and improvement in our agent attraction and onboarding initiatives.
PERFORMANCE MEASUREMENT/BENCHMARKS:
Create a happy place to be and keep the environment clean and professional.
Become known as the go-to person for help, direction, contacts, and other admin related tasks.
Treat our agents as clients and be a problem solver
OBJECTIVES:

Pay: $14.00 - $20.00 per hour
