A Brief Overview
Employee will provide clinical and administrative coordination to their program. Duties will include preparation of materials for clinic, maintenance and expansion databases, assisting with phone interactions with patients/families, coordination of studies, assisting in the preparation of grant proposals and research protocols, and various patient education and other administrative tasks.

What you will do
  • Independently and without supervision provides oversight of administrative issues for clinics
  • Reviews patient schedule ahead of time and assembles all materials and records required by clinical staff for the clinic session; this includes pending lab results, radiology records, ophthalmology notes, etc. Review results and records from a clinical perspective to identify pertinent issues. Brings such issues to the attention of attending physician.
  • Obtains missing records, including from sources outside CHOP.
  • Follows up to obtain results of post-clinic studies for review by the clinical team.
  • Supervises scheduling process for patients: assists in triaging new patients for urgency; ensures that patients are assigned appropriate time slots; assists in assigning new patients/consults to appropriate providers; and works with clerical staff to ensure coordination for patients in need of multiple clinic visits (Neuro-Oncology, Ophthalmology, MRI, etc.). Supervises scheduler.
  • Coordinates transition of patients between the King of Prussia site and CHOP Main campus.
  • First contact for new patient referrals (obtains medical history, arranges for receipt of medical records/scans/etc., and reviews for eligibility for clinical trials and other clinical research protocols).
  • Maintains and enhances database
  • Maintains database by updating patient demographic and clinical information regularly, accurately and independently.
  • Enters updated information following clinic visits in a timely manner.
  • Runs a variety of queries and reports from the database.
  • Maintains familiarity with the structure of the database and collaborates with Program personnel and Divisional computer specialists to enhance its scope and utility.
  • Clinical Responsibilities
  • Calls families, gathers information, and provides medical advice (when appropriate) when triage nurse refers a phone call. Contacts or refers call to medical staff or advanced practice nurses when indicated.
  • Follows-up with families by phone when clinically indicated (e.g. after discharge from hospital).
  • Collaborate with medical staff and advanced practice nurses in patient care activities when possible.
  • Coordination of studies and patient accrual
  • Tracking of patients and patient results.
  • Collection of data as required by protocol.
  • Assist in the development of case report forms.
  • Identification and enrollment of appropriate patients on clinical studies.
  • Provide information and instructions to study participants.
  • Review informed consents with patients and families.
  • Be an active member of the investigative team in program studies.
  • Assists in the preparation of grant and foundation proposals
  • Assists in organizing grant materials according to the requirements of the funding source. Assembles materials for submission to Stokes and ultimately to the funding source in a timely manner.
  • With the assistant of the principal investigator and the Divisional administrator, investigates and resolves simple administrative questions about grant requirements and structure.
  • Aid in establishment of studies
  • Write narrative descriptions and other forms necessary for IRB review and implementation of studies.
  • Review and edit data collection forms and consents.
  • Aid in writing of new studies and protocols.
  • Assist in designing study budgets.
  • Education
  • Assisting in developing education materials for patients and families.
  • Lecture to nursing staff regarding program topics
  • Lecture at regional patient/family symposia.
Education Qualifications
  • Associate's Degree Nursing Required
  • Bachelor's Degree Nursing Preferred
Experience Qualifications
  • At least one (1) year Experience in a clinical research setting. Required
Skills and Abilities
  • Excellent clinical, organizational and communication skills.
  • Knowledge of and ability to use standard computer programs.
  • Knowledge of, or ability to learn, database programs, plus understanding of data management concepts.
  • Basic understanding of academic, research and/or clinical setting.
Licenses and Certifications
  • Registered Nurse (Pennsylvania) - Pennsylvania State Licensing Board - upon hire - Required or
  • Registered Nurse (New Jersey) - New Jersey State Licensing Board - upon hire - Required
