Responsibilities:
At Groups, the Member Admissions Specialist is at the center of a team of professionals who deliver a high quality intake experience to new members. The Member Admissions Specialist is involved in every aspect of admitting a new member into our treatment program. By providing structure for colleagues and members alike, the Member Admission Specialist allows everyone to do their part in the treatment process, efficiently and respectfully. In this position, you are responsible for coordinating the member’s first experience at Groups and ensuring the experience is efficient, responsive and respectful at every step. To do this, you will bring together medical professionals, counselors and other colleagues who deliver care as a team.
Duties & Responsibilities
- Provide exceptional customer service and help members troubleshoot issues that affect their treatment.
- Manage the admission of members and the virtual workflow, including check-in/out, payment, prescriptions and drug screens.
- Accurate and timely data entry into the member’s electronic medical record
- Coordinate with medical providers on scheduling member appointments and addressing each member’s needs which may include appointment changes
- Maintain member information in the EMR, such as address, phone number and pharmacy
- Oversee day-to-day admission operations
- Sending appointment reminders and rescheduling appointments as deemed necessary
- Welcome all prospective members into the program and serve as the first contact for all members
- Ensure the accurate and timely completion of admission forms for each new member scheduled for an intake appointment
- Confirm insurance eligibility and sign up information at intake and when needed for new members; provide referrals to Care Navigators for financial or insurance assistance as deemed appropriate
- Provide guidance to members on insurance plans and utilization requirements, including network eligibility, co-payment, etc., connecting with Care Navigator and/or Financial Manager as needed
- Maintain accurate member insurance/ demographic information in the EMR
- Answer general office level questions from members regarding program concerns, pharmacy issues, and /or other personal needs of the program (if unable to answer questions, connect the member with the appropriate point of contact)
- Assist members in completing the urine drug screen process during intake
- Meet with supervisor on a regular basis to assist in identifying and correcting problem areas and or improving services
- Comply with company policies and procedure and local, state, and federal regulations
- Respond positively to changing situations in the work setting
- Work as a team member, demonstrating maturity and objectivity
- Complete an average of 15 intakes per day
- Perform other duties as assigned
- Bachelor’s degree (completed or in-progress) preferred
- Minimum 2 years of experience in an administrative role
- Strong working in a virtual environment and using related technology
- Healthcare, insurance eligibility, retail or hospitality experience preferred
- Fluency with Excel/spreadsheets and Google Apps (Gmail and Google Docs)
- Experience with working in and maintaining an Electronic Medical Record (EMR)
- Access to reliable internet and telephone services, specifically download speeds over 40 Mbps and upload speeds over 10 Mbps as well as a strong WiFi signal from your remote work location.
- Exceptional written and verbal communication skills
- Ability to multitask and prioritize with minimal supervision
- Strong attention to detail and ability to manage confidential and highly sensitive information
