The Medical Records Specialist is responsible for the maintenance and safe-keeping of all medical records. The position is also responsible for the quality assurance of the medical records, ensuring that the medical records are in compliance with the federal and state regulations, Indian Health Service regulations and Joint Commission Accreditation of Healthcare Organizations (JCAHO).

ESSENTIAL JOB DUTIES:

  • Supervise the collection, filing, processing, maintenance, retrieval and distribution of medical records.
  • Maintain chart tracking system and facilitates a direct flow of medical records from the retrieval of charts to refilling.
  • Maintain secure storage and confidentiality of medical records.
  • Review charts to ensure complete documentation and appropriate filing of progress notes, triage notes, laboratory results, x-ray reports, and other pertinent medical notes.
  • Coordinate Quality Assurance Review of medical records.
  • Coordinate all correspondence relevant to medical records, adhering to the Privacy Act of 1974, court orders and patient requests.
  • Enter patient data into computer tracking system.
  • Type and/or transcribes correspondence for medical and mental health staff.
  • Ensure accurate coding on encounter forms and appropriately directs to Billing Coordinator.
  • Provide back-up support for Medical Receptionist.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • Two years experience working in a medical health clinic and/or doctor's office performing the above responsibilities.
  • Ability to maintain professional boundaries with clients, the community, and other staff members.
  • Work collaboratively with clients, other NARA staff, team members, and to treat everyone with respect and dignity at all times.
  • Ability to pass a pre-employment or for cause drug tests.
  • Ability to pass criminal background and DMV checks.
