POSITION SUMMARY
HR Specialist report to the HR Director. This position is responsible for assisting with the administration of all benefits and retirement programs, including medical, life insurance, short- and long-term disability, and 401(k) plan. This role is responsible for creating programs and initiatives that will result in increased employees’ engagement and retention at all levels. The HR Specialist creates opportunities for our employees to participate in local community events, helping to further PharmPix mission to move the things that move the pharmacy world forward. The HR Specialist will also be involved in all aspects of the recruiting process life cycle including managing job postings, sourcing and screening candidates, submitting and guiding candidates through the interview process, conducting reference and background checks, extending formal offers of employment and onboarding candidates.
ESSENTIALS ROLES AND RESPONSIBILITIES
- Design interview questions that reflect each position’s requirements in the interview and selection procedures, including screening calls, assessments and in-person interviews.
- Assess candidate information, including resumes and contact details, using our Applicant Tracking System (ADP). Manage respective candidate pools to ensure qualified candidates remain engaged in current or future opportunities.
- Responsible to maintain the Affirmative Action Plan in compliance.
- Proactively seek market intelligence to gain competitive advantage in attraction, assessment and sourcing methodologies and lead employer branding initiatives for social media (Facebook or LinkedIn).
- Organize and attend job fairs and recruitment events to build a strong candidate pipeline.
- Compliance with internal and external audit processes and prompt documentation by department and business unit regulations. It includes and is not limited to compliance with all company policies and trainings that employees must comply with. All employees are responsible to identify, review and understand company policies applicable to their role and position which are distributed in the ADP Platform in the Onboarding Process.
- Monitor and audit employee master files and validate that all employee documents are on file correctly. The master file should be properly managed and updated monthly based on the hiring of new employees.
- Communicate regularly with Hiring Managers to get a clear view of departmental hiring needs and organizational goals. Administer and submit all hiring paperwork for new employees.
- Ensures the accuracy of all benefits enrollments in the HRIS (ADP) to provide vendors with accurate eligibility information and performs quality checks of benefits-related data.
- Assists employees regarding benefits claim issues and plan changes.
- Distributes all benefits enrollment materials and determines eligibility Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
- Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Manages the annual catch-up contribution enrollment.
- Assists with the open enrollment process.
- Reviewing vendor invoices, resolving disputes, and reporting on fees and costs
- Support and maintain the employee engagement programs and initiatives.
- Serve as project point person on specific segments of employee engagement and communications programs, including contests, meeting logistics, meeting recaps, budget summaries, etc., to ensure all engagement programs are successfully implemented.
- Execute employee surveys, roundtables, and other feedback initiatives; recognize shortcomings and develop recommendations to improve.
- Deal with employee requests regarding human resources issues, rules, and regulations, assist with day-to-day operations of the HR functions and other duties that may be assigned.
- Audits and Compliance:
- Develop a regular monthly audit schedule to review the integrity of data in the HRIS system and databases.
- Serve as the primary liaison for annual data testing and auditing for HR team and other compliance requirements.
- I-9 audit and maintenance.
- Performs other duties as required.
TRAINING & EDUCATION
- Bachelor’s Degree in human resources, Labor Relation or related field.
LICENSURE / CERTIFICATION
- Driver License is required.
PROFESSIONAL EXPERIENCE AND PROFESSIONAL COMPETENCIES
- 2 years of experience in Human Resources field is required.
- Knowledge of principles, practices, and standards of human resource administration
- Knowledge of human resource information systems (HRIS) ADP WORKFORCE NOW.
