General Description

Provides complex administrative support to the Department of Human Resources by leveraging technologies to ensure that employees are onboarded, paid in a timely manner, and have up-to-date records. Work is performed under general supervision without specific instruction. Specialized knowledge of the department’s functions is required. Contacts are made at all organizational levels within and outside the department and division, requiring the handling of sensitive or controversial information and/or dealing tactfully with the public. Requires independent planning and coordination with others; considerable judgment is required.

Essential Job Functions

  • Provides a high level of customer service to all stakeholders.
  • Manages the transition of newly hired employees into the digital onboarding system.
  • Tracks progress of all newly hired employees in the digital onboarding system ensuring all items are complete.
  • Helps newly hired employees with general troubleshooting in the onboarding system.
  • Helps with general maintenance of the onboarding system.
  • Collects and maintains applicant and hiring data as required by law.
  • Transitions all pre-employment documentation to the electronic personnel file.
  • Answers routine questions regarding employment policies and procedures for current and former employees, applicants, and outside agencies, directing non-routine matters to the appropriate individual.
  • Responds to inquiries from within and outside the school system; establishes and maintains working relationships with other offices, schools, governing agencies, media, and vendors; coordinates with other departments and processes work requests needed by staff.
  • Processes correspondence to administrative employees such as contracts, amendments, resignations, retirements, transfers, etc. Ensures departments impacted by these actions are notified.
  • Schedules and completes pre-employment fingerprinting and paperwork.
  • Accesses State law enforcement online resources to obtain results and investigate case dispositions as needed.
  • Maintain and communicate background check information for outside vendors as needed.
  • Works with the Appomattox Regional Governor’s School for orientation of their new hires for orientation/benefits information.
  • Coordinates the process for all TB tests for new employees as needed.
  • Assists in Job Fairs and Recruitment Days through preparation, setup, and organization of materials afterward.
  • Serves as a resource to others; assists with data entry, records management, and general clerical work.
  • Performs other duties as required.

Qualifications

  • Considerable knowledge of office practices and procedures, the department's policies and procedures, and school division programs as well as the ability to interpret and apply the policies and procedures to the relevant task.
  • Demonstrated working knowledge of HR processes, records management, and regulatory requirements.
  • Demonstrated ability operating personal computers, utilizing spreadsheets, word processing, and presentation software (Google Suite, Word, Excel, and Powerpoint preferred).
  • Must be flexible and able to prioritize and manage multiple tasks/projects simultaneously.
  • Demonstrated ability to:
    • maintain databases and provide routine reporting;
    • edit work for proper grammar, spelling, and punctuation;
    • maintain accuracy in a high volume atmosphere.
  • Demonstrated ability to communicate effectively both orally and in writing.
  • Experience exercising judgment and working effectively with all levels of the organization and the public.
  • Prior experience working effectively on a team with a variety of people.

Requirements

  • High School Diploma or an equivalent combination of training and experience that would provide the required knowledge, skills, and abilities; additional education or training a plus.
  • Experience in administrative support work in a Human Resources program preferred.
