JOB PURPOSE: The Administrative Assistant will coordinate recurrent administrative and clerical functions of the Director, Head Start unit. The Administrative Assistant will also serve as the personal and confidential assistant to the Director, Head Start unit, and recorder for the PCCEO Board of Directors and Policy Council.
EDUCATION AND WORK EXPERIENCE: Required: High School graduate with some college; supervisory experience, and the ability to manage the Head Start Director's office in his/her absence. Preferred Associate Degree in Office Professional or related.
KNOWLEDGE AND SKILLS: Proficient in the use of Microsoft Office Suites.
DUTIES AND RESPONSIBILITIES: 1. The Administrative Assistant will develop and maintain administrative processes and personal files of the Director, Head Start unit. 2. Coordinate submission of the Child and Adult Food Care Program application, monitoring, reporting, and review monthly count reports. 3. Provide supervisory direction to assigned staff and coordinate appointments with and for the Director, Head Start unit. 4. Coordinate the establishment and maintenance of effective administrative channels to and from the Director's, Head Start unit, office. 5. Provide assistance in the following areas: a. Preparation of official correspondence for Director's, Head Start unit, signature. b. Collection, assimilation and consolidation of information from the various Head Start staff offices for presentation to the Director, Head Start unit. c. Monthly Progress Reports and Semi-Annual Reports d. Development of graphic displays for briefings, conferences and seminars. e. Legislative analysis and resource mobilization. 5. Maintains a central file on all programmatic and fiscal reports, internal and external correspondence, etc. and a chrono log on each. 6. Types, composes and files routine correspondence and other records; supervises mail routing and documentation. 7. Greets visitors, ascertains nature of business and directs visitors to appropriate offices. 8. Arranges travel schedules and reservations, complete travel and reconciliation documentation. 9. Maintain all personnel records/files and assure required information is entered and logged (i.e., application/resume, transcripts, DCFS forms, authorizations, etc.)
