Job Title: School Support Executive Assistant

Reports To: Deputy Superintendent of School Support and Special Services

Compensation: $45,00- $55,000

Summary:

Performs all administrative support duties required for this position for the Deputy Superintendent of School Support and Special Services. This position requires knowledge of District procedures and policies, the ability to assume responsibility, work effectively and independently under pressure and maintain confidentiality.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Receive telephone and in-person callers, maintaining a helpful, positive demeanor. Use discretion to determine those which are to be handled by the Deputy Superintendent of School Support and Special Services personally, as well as those delegated to an School Support team member or other department. Make referrals as appropriate, answer general questions, including those requiring research or technical knowledge.
  • Oversee PO and Contract processes for all School Support and Special Services teams, ensuring correct coding and information before submitting to the Deputy Superintendent for approval, including checking for 3 bids or sole source forms (when required), w9’s for new vendors, and other required documentation.
  • Manage copiers for the District
  • Attend and take minutes at meetings as requested.
  • Work directly with the School Support and Special Services team on projects. Assist other teams with projects as requested.
  • Act as liaison between the Deputy Superintendent, Management Team, and others in the District and community.
  • Assist the Deputy Superintendent, as directed, in critical communication with others.
  • Maintain calendars of critical events and deadlines for the School Support and Special Services Division.
  • Make all necessary arrangements for travel and conferences for the Deputy Superintendent and others on the team as needed.
  • Maintain regular attendance; adhere to District practice regarding attendance and leaves of absence.
  • Perform the above and other related duties consistent with the scope and intent of the position with strict confidentiality.
  • Perform related duties as assigned by the Deputy Superintendent of School Support and Special Services.

Supervisory Responsibilities:

  • No supervisory responsibilities for this role.

Education and/or Experience

  • Bachelor’s Degree preferred. Qualifying, successful experience may substitute for educational requirements.
  • Five years working in a central office environment and school district preferred.
  • Experience in administrative support required

  • Ability to maintain strict confidentiality.

  • Ability to work both independently and cooperatively, exercise judgment and creativity and willingness to work with others as a team.
  • Ability to work effectively under pressure from the public, workload, and employees.
  • Ability to work extended hours for attendance at evening district and board meetings.

Language Skills

Ability to read, analyze, and interpret internal communications, financial reports, and legal documents. Ability to respond to common inquiries or complaints from families or members of the business community. Ability to communicate effectively with students, families and coworkers, both verbally and in writing. Excellent writing skills required.

Basic math skills required

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions.

Computer Skills

To perform this job successfully, an individual should have computer proficiency in Windows, Microsoft Office and Google Suite. Must have a high aptitude to learn new software as necessary for the business operations of the school.

  • Current driver's license and valid car insurance

  • Must be able to pass a state-mandated background check after a conditional offer of employment is made
  • Must have favorable employment references
