Job Description
The role of the CSR/Permitting is to process, submit and schedule city permits for residential plumbing jobs. CSR must insure that all customer permits are applied and completed in a timely manner. CSR will also handle incoming plumbing service calls when not processing permits.
Job Duties:
- Managing inbound and outbound calls in a timely manner
- Identifying customer's needs and clarify customer's information in order to provide solutions
- Schedule and coordinate failed inspections and service calls
- Maintain Technicians daily schedules
- Insure the service calls are properly completed
- Schedule any return trips with the customers if needed
- Dispatch service technicians, one call at a time
- Monitor the dispatch board to insure technician are productive
- Complete permit applications for daily installs; NOC when necessary
- Assign Decals; track decal numbers
- Coordinate drop off/pick up their permits
- Electrical Permits
- Notify municipalities of installs; permit on the way
- Coordinate daily schedule of Permit Courier; schedule his calls; track time on GPS; close calls
- Update Permit Tracking in Service Titan Software
- Call in Inspections
- Confirm Inspection appointments with customers & get time frames for inspections for customers
- Schedule calls to drop off/pick ladder if required for inspection
- Check Inspection Results
- Enter New Permits information in SuccessWare
- Copy New Permits
- Mail New Permits to Customers or File in Quality Check Drawer by Date
- Follow up calls to customer to schedule inspections
- Permit Revisions
- Correct rejected permit applications (e.g., plans needed)
- Correct other paper work issues, e.g., wrong app. Signed; warranty deed needed; wrong signature; missing signature; no NOC signed
- Coordinate and Schedule corrections of failed inspections with Installation Manager and customers
- Strong follow-up to ensure all permits are closed out; permits applied for are issued
- Ensure that all open permits are closed; Renew permits; Pay fees
- Renew Expire Permits
Job Requirements:
- Previous experience in Permitting
- Strong phone and verbal communication skills with active listening skills
- Ability to multi-task, set priorities and manage time effectively
- Attention to detail
- Data Entry: Ability to enter accurate information and post invoices
- Ability to type 45 WPM
