Position Focus:

Reporting to the Associate Director of Licensing Compliance, the Commercial Compliance Associate, provides direct professional support and ensures compliance requirements are satisfied in all aspects of the licensing process. The candidate must maintain strong working relationships with many different constituencies daily and be the point for coordinating efforts to support the enforcement of commercial compliance of license terms to keep licensees accountable to the requirements of the agreements. The position is also responsible for the maintenance of foundation funding agreements, therefore requires a working knowledge of funding agreements and reporting requirements. The position requires that the candidate conduct detailed research on entities and/or individuals of interest, and be able to track, calendar, and maintain deadlines daily. The candidate must possess a working knowledge of general accounting practices. The position is also responsible for the collection and assembly of the documentation for due diligence for licenses including but not limited to, corporate documentation, assignments, employment agreements or forms and any other documentation relating to the Yale University ownership of intellectual property. The candidate must be able to manage workloads with multiple demands and shifting priorities within a fast-paced environment.

Essential Duties

1. Maintain effective relationships and provide high quality service to administrators, faculty and sponsors in managing the financial and legal aspects of technology transfer. 2. Responsible for the docketing accuracy, funding compliance, and/or commercial compliance (based on assigned tactical focus) and completeness for all documents received from the USPTO, other intellectual property entities and clients in accordance with applicable rules and regulations. 3. Run queries, analyze data and prepare accurate and professionally presented docketing, compliance, and/or other data reports to be used by department including 1) a monthly new filings and attrition report, 2) an annual filing, issuance and abandonment report, 3) funding compliance reports, 4) commercial compliance reports, and 5) other routine or periodic reports as requested. 4. Process/coordinate file or document transfers to external firms and as requested. Report/coordinate the reporting of new documents received for matters that have been transferred to external parties. 5. Identify and analyze complex issues and problems in relation to data 6. Work closely with the IP Director in proposing improvements in processes, procedures and/or policies in relation to the department docketing system. 7. Assume the daily duties of the IP Director to cover leave. 8. Perform other tasks and duties as assigned by management.

Required Education and Experience

Bachelor's degree in a related field and at least five years of relevant; or an equivalent combination of education and experience.

Required Skill/Ability 1:

Previous demonstrated ability with licensing and intellectual property management, in particular the commercial aspects including financial invoices and reporting requirements.

Required Skill/Ability 2:

Demonstrated ability working in intellectual property relational databases and experience transitioning between database systems.

Required Skill/Ability 3:

Proficient in the understanding of contract and patent terminology.

Required Skill/Ability 4:

Strong interpersonal skills necessary to establish and maintain positive relationships, communicate and comprehend instructions effectively to and from a diverse group of stakeholders.

Required Skill/Ability 5:

Ability to exercise discretion and confidentiality.

Preferred Licenses or Certifications:

Notary certification or willingness to obtain it.
