The Cornell Cooperative Extension Sullivan County Agriculture & Food Systems Program Assistant provides administrative support and coordination of routine tasks related to the delivery of CCE programs in the areas of Ag & Food Systems, and Community & Economic Vitality. The Program Assistant supports multiple priorities across program areas and relays information from CCE staff to volunteers and constituents.
Required Qualifications:
- Associate Degree in related field of education or youth development. GED/High School Diploma and one year transferrable program/functional experience is acceptable.
- Experience relevant to the role of the position.
- Ability to meet travel requirements associated with this position. A valid NYS driver's license and ability to drive and driving record acceptable for agency insurance coverage are required.
- Ability to read English and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to communicate effectively through oral, written, and visual channels and educational tools.
- Ability to work flexible hours including evenings and/or weekends, as appropriate.
- Ability to frequently work in outdoor weather conditions including extreme heat and cold.
- Ability to frequently carry supplies and equipment, including by climbing stairs and/or in natural environment settings with or without reasonable accommodation.
- Knowledge of diverse audiences and Sullivan County community.
- Ability to utilize program resources within the community.
Preferred Qualifications:
- Bachelor’s Degree in related field of education or youth development.
- Six months volunteer or work experience in informal education.
Responsibilities/Essential Functions:
Administrative Responsibilities:
Management - 5%
- May provide non-complex routine administrative management to support established educational program goals such as program mailings, registration, follow up and reminder calls to program participants or volunteers.
- May give guidance to volunteers and co-workers performing similar work.
Coordination/Operation - 90%
- Provide a substantial amount of routine tasks related to program areas: Ag & Food Systems, and Community & Economic Vitality.
- Provide routine limited complexity administrative tasks to support the delivery of established educational program goals including, but not limited to assembling existing resources into educational program materials, coordinating established program schedules, relaying information between CCE and constituents or volunteers.
- Provide non-complexity administrative tasks to support the implementation of program budgets including, but not limited to assisting in allocating program budget amounts and preparing program expense reports.
- Provide support for volunteer coordination and recruitment activities, including but not limited to preparing outreach materials, setting appointments for presentations and assisting with paperwork questions.
- Provide routine limited-complexity administrative tasks for conducting mass media efforts related to program. May be asked to pull appropriate information from established materials/curriculum, to create written article/s as a means of education and outreach.
- Draft standard communications for supervisor’s use, referring to supervisor’s occasional assistance.
- Assist with business systems annual program reporting.
- Coordinate program registration and attendance.
- Draft program and event flyers.
- Transport program materials on an as needed basis in Association or own vehicles.
- Report unique and/or emergency situations immediately to supervisor or Executive Director.
- Assists in maintenance and creation of Association and program related displays.
- Compile, tally, and/or format evaluation data from program participants based on existing framework.
- May compile, tally, and/or format program needs assessment data based on existing framework.
Professional Improvement and Other Duties as Assigned - 5%
- In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes in programming and association priorities.
- Collaborate in activities that are in general support of Cornell Cooperative Extension including but not limited to attendance at staff meetings, timely reporting of expenses, working with other staff, general marketing of Extension programs and other duties as assigned.
