GENERAL PURPOSE:
The Administrative Secretary performs and coordinates the completion of a variety of clerical and administrative tasks relating to school operations to ensure projects and tasks are completed in a timely and accurate manner. The Administrative Secretary ensures confidentiality in all matters related to staff and student personal information.
GENERAL RESPONSIBILITIES:
1.Conducts general secretarial duties such as typing, filing, copying, answering the telephone, and data entry of student and teacher schedules, and various reports to support the operation of school offices.
2.Communicates positively with the public through a pleasant telephone manner and welcoming office demeanor.
3.Provides leadership, direction, and technical assistance to members of the support staff assigned to the respective location to ensure operation of the school/department office.
4.Trains less-experienced staff or new personnel in School Department policies and procedures.
5.Maintains recordkeeping system for easy access of information, simplifying report preparation and ensuring data accuracy. Maintains accurate documents and financial records required for governmental reports and recordkeeping.
6.Opens, sorts, and distributes mail to facilitate information distribution and timely receipt of correspondence.
7.Maintains confidentiality regarding administrative affairs and student records.
8.Answers general inquiries regarding non-confidential student and school information and provides reports on absenteeism, truancy, and other student-related matters to summarize information in appropriate formats.
9.Recommends and implements changes in office procedures to improve the effectiveness and efficiency of office operations.
10.Coordinates work of others to complete special projects and tasks as assigned by supervisor(s).
11.Proofreads for accuracy and completeness to correct errors prior to distribution.
12.Maintains and updates supervisor’s appointment calendar to effectively coordinate supervisor’s availability with the demands of the position.
13.Provides ongoing communications concerning the school to the community and other School Department employees.
14.Informs supervisor of operational activities that impact the school/department.
15.Establishes annual project calendar based on input of supervisor and ensures required tasks are completed accordingly.
16.Maintains confidentiality regarding staff and student information.
17.Performs other job-related duties as required.
MINIMUM QUALIFICATIONS:
1.High school diploma or its equivalent.
2.Oral and written communication skills at the level required for the position.
3.Ability to write clearly, to recognize common grammatical errors, to perform mathematical operations, and to solve problems at the level required for the position.
4.Proficiency with technology, including but not limited to software applications, i.e., Microsoft Office, etc., at the level required for the position as well as a willingness to improve skills.
5.A pleasant manner and positive attitude that facilitates good relations with children and adults.
6.Organizational skills that ensure efficiency.
7.Lifting and carrying, manual dexterity.

The School Department is a community of approximately 2,550 students, 235 faculty members, 87 staff, and 15 administrators, including the Superintendent of Schools. The School Department is overseen by the Burrillville School Committee, seven representative individuals elected on a rotating basis every four years by the citizens of the town.
