Job Summary
Provide advanced administrative and clerical skills to assist department mission by providing faculty, staff, and students, and/or the public with applicable information and support. Must exercise appreciable independent judgment in coordinating the details of the office.

Major Responsibilities/Duties/Critical Tasks
- Assist Department Chair with maintaining calendars, schedules, and resolve calendar conflicts.
- Monitor expenditures and income against the budgets, maintain accurate accounting records, and facilitate monthly reconciliation of accounts.
- Keep complex clerical records and prepare reports from a variety of material.
- Create e-forms for hiring and termination of student assistants at the graduate and undergraduate levels. Work with HR to have all hiring documentation completed before the initial start date. Post student position announcements on HandShake.
- Book and process travel for faculty candidates during new faculty hiring as directed by the Department chair.
- Provide budget and financial support for areas including but not limited to reimbursements, purchasing, and travel
- Assist with grant purchasing and processing as research and grant opportunities expand.
- Collaborate with the department chair to schedule courses each semester, attend training each semester for course scheduling, enter courses into Peoplesoft, confirm textbook adoptions with departmental faculty, as well as any other course-related duties as assigned.
- Maintain student files and records and assist in preparations for advising and mentoring.
- Oversee student office assistant and maintain the orderly appearance of the office suite.
- Order departmental supplies as needed.
- Update the departmental website for currency and accuracy of the information, creating and revising faculty pages, posting syllabi per state legislation, and other website duties as assigned.
- Monitor departmental website and other advertisement for currency and accuracy of information presented.
- Greet visitors and students when they arrive and direct them to the proper office.
- Answer the department telephone promptly, assessing caller needs, and answer questions or redirect as appropriate.
- Perform an annual inventory of all departmental equipment.
- Perform other related duties as assigned.
Minimum Required Education/Experience
- High school diploma or equivalent.
- Associate Degree or higher in business management or a related field preferred.
- Five (5) years of relevant experience.
- More than three (3) years of experience in an executive or professional office setting preferred.
- A combination of education and experience in a related field could also be considered.
- Strong hands-on experience with MS office, especially Excel, Word, and Outlook preferred.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
