We are seeking a highly motivated, organized, and efficient Administrative Assistant to join our leading construction company in the Washington, DC area. The ideal candidate will have proven administrative experience, strong organizational skills, and excellent communication abilities.

Responsibilities:

  • Answer and direct phone calls: Serve as the primary point of contact for incoming calls, providing prompt and professional assistance to callers and efficiently directing them to the appropriate parties.
  • Schedule meetings and appointments: Coordinate and manage calendars, ensuring timely scheduling of meetings and appointments while considering availability and resource requirements.
  • Maintain contact lists and correspondence: Update and maintain accurate contact information, manage email correspondence, and handle the distribution of memos, letters, faxes, and forms.
  • Manage and monitor accounts payable/receivable invoices and reconcile expense reports: Review and process invoices, track expenses, and reconcile expense reports accurately and in a timely manner.
  • Assist in preparing reports: Collaborate with team members to gather data, compile information, and assist in the preparation of regular reports, ensuring accuracy and adherence to deadlines.
  • Develop and maintain filing systems: Establish and organize physical and digital filing systems, ensuring easy access and confidentiality of documents.
  • Order office supplies and book travel arrangements: Monitor inventory levels, anticipate supply needs, place orders for office supplies, and manage travel arrangements for employees.
  • Provide support to visitors and answer inquiries: Greet visitors, offer general support, and promptly respond to questions and requests, maintaining a professional and welcoming environment.
  • Generate reports and handle multiple projects: Prepare reports, presentations, and other relevant documents as needed, managing multiple projects simultaneously while meeting deadlines.
  • Maintain equipment and supplies inventory: Conduct regular inventory checks, anticipate supply needs, coordinate repairs, and ensure proper functioning of office equipment.
  • Monitor insurance and bond documents to ensure compliance.
  • Assist with any ad hoc projects and/or tasks as directed by management.

Qualifications:

  • Proven administrative assistant experience: Demonstrated experience in administrative roles, preferably in the construction industry, showcasing proficiency in handling administrative tasks effectively.
  • Knowledge of office management systems and procedures: Familiarity with standard office procedures, including document management, scheduling, and coordination, to ensure efficient workflow.
  • Excellent time management and multitasking skills: Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities simultaneously, ensuring smooth operations and meeting deadlines.
  • Strong attention to detail and problem-solving abilities: Keen eye for detail, identifying errors or discrepancies, and utilizing problem-solving skills to address challenges efficiently.
  • Excellent written and verbal communication skills: Clear and effective communication, both written and verbal, to interact professionally and confidently with team members and stakeholders.
  • Proficiency in MS Office: Strong knowledge and experience using Microsoft Office Suite, including Word, Excel, and PowerPoint, for document creation, data management, and presentations.
  • High school diploma or equivalent; college degree preferred: Minimum educational requirement of a high school diploma or equivalent, while a college degree in a related field is preferred.
