The Administrative Assistant is responsible for providing administrative support, coordinating, implementing and monitoring all systems to ensure foster care team needs are met in an efficient manner.
Job Responsibilities
- Schedules meetings and maintains the calendar for the Chief Information Officer
- Develops and maintains a calendar of renewal dates for agency hardware and software
- Assists the Technology Support Coordinator in
- Tracking of in-stock and deployed user technology (phones, laptops etc)
- Shipping and receiving user technology to statewide locations
- Assistance with purchasing and tracking of technology items.
- Monitors IT-related supplies for the technology department and works with administration to replenish supplies.
- Processes travel authorizations, makes travel arrangements and coordinates expense tracking/reimbursements for departmental personnel.
- Answers main IT number and directs calls as necessary.
- Assist in the routine approval of IT-related invoices for the agency.
- Assist in the tracking and communication regarding IT projects.
- Assist in the hiring process for IT employees
- Record notes/minutes at key IT & project meetings and distribute notes with action items to stakeholders
- Create agendas for IT-related meetings using action items and feedback from stakeholders.
Job Requirements
- Minimum of High School diploma/GED required
- Minimum of 1-3 years of experience.
- Must have a valid driver’s license
- Ability to work with economically and culturally diverse population.
- Skills: excellent written and oral communication skills including data entry skills.
