Beat The Streets Chicago is an impactful and growing non-profit providing athletic programming and academic support to Chicago’s youth. We are looking for a professional to assist in running the headquarters office in our Chicago Ridge facility. Reports to: Deputy Director

Summary

The Administrative Assistant will help Beat The Streets Chicago administrative staff in regular tasks of running our Beat The Streets headquarters and facility by maintaining records, overseeing our wrestling database, managing communications with coaches, wrestlers and families, running reports on registration and sales, and oversight of physical inventory on designated intervals. Good organizational practices are required.

Responsibilities & Duties

  • Program SupportFrontdesk duties: manage general walk-in inquiries, practice & event check-in and merchandise sales

Provide excellent customer service to: wrestlers, parents, donors & walk-in inquiries
Oversee needs for enrichment activities including directing room set-up, ensuring AV is in place and ordering food for snacks/meals
Manage facility-based supplies inventory and ordering with support from Facility and Program Associate
Inventory clothing when required
Manage travel arrangements for coaches and wrestlers participating in out of area events
Manage registration and logistics for events such as tournaments and fundraising events

-Wrestling-IQ & USA Wrestling

  • Assume responsibility for our registration system as the organization’s point person and chief admin for Wrestling-IQ registration and participant database and the USA Wrestling membership system; communicate with parents and wrestlers via phone calls and text messagesManage the registration and attendance software (Wrestling IQ)

Manage the USA Wrestling Club system, through which we create membership profiles for all of our wrestlers and register our club events.
Synchronize the data between USAW and Wrestling IQ.
Create reports including registration, event registration and enrollment on designated timelines
Print bag tags for facility based wrestlers
Manage coach requirements through USAW.
Manage IKWF wrestler paperwork requirement

  • Manage eVoice system and return phone call inquiries
  • Monitor emails coming into the general mailbox and respond to inquiries or forward to colleagues as appropriate
  • All other duties as assigned

Specific Skills

  • Strong oral and written communication skills; including phone presence
  • Strong skills in office technology (word processing, spreadsheets, presentations, online calendars)
  • Ability to adjust/update our advertising materials using our online software
  • Comfortable working with large data sets and databases
  • Ability to set up and troubleshoot AV for video conferencing

Requirements

  • Certifications and licensesUSAW membership card will be required as this provides the required SafeSport child safety training and background check needed to work with youth
  • Physical Capabilities - position requires some sitting at a desk in front of a computer. Some light lifting as is typical for an office job may be required. Some physical activity related to setting up and working at a wrestling tournament or a fundraising event, which could include light lifting, standing for long periods of time and setting up displays. May need to drive one of our vans on occasion or run errands on behalf of the organization
  • OtherMust have a working cell phone (cell phone expense stipend is provided)

You are welcome to bring your own laptop; otherwise a Chromebook will be provided
Spanish is helpful but not required
Some knowledge of wrestling
Interest working with youth from multiple backgrounds

Beat the Streets Chicago is a sports-based youth development organization and recognized 501c3 nonprofit with a mission of empowering Chicago youth through wrestling. We offer year-round wrestling programs augmented by life-skills enrichment at locations throughout the City, including our newly-built headquarters facility at 5985 S. Archer Avenue in the Garfield Ridge neighborhood of Chicago. Our priority is bringing quality, impactful wrestling and enrichment programs to youth from Chicago’s most under-resourced communities.

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
