Administrative Assistant
This is an entry-level position that is not eligible for hybrid or remote work. Hours are 8:00 AM - 4:30 PM Monday through Friday in our Braintree, MA Corporate office.
Position Summary
The Administrative Assistant will be an integral member of a dynamic team for a fast-growing physical therapy network in the Northeast. The Administrative Assistant will be responsible for providing administrative support to the Human Resources and Credentialing team, as well as acting as the corporate receptionist. This position will be fully in the office, due to the nature of the responsibilities.
Essential Functions
Human Resources
- Assists the Director of Human Resources by providing administrative support.
- Enters all new hires into HealthStream
- Orders nameplates and prepares key fobs for all Corporate new hires
- Maintains the team calendar for PTO and the HR/Credentialing Intranet pages
- Assists with HR Projects such as open enrollment, focal point reviews, and employee engagement surveys/ rewards and recognition
- Responds and follow through for requests for information and communicate with all levels of management with minimal supervision
Credentialing
- Ensures all provider license renewals are received and entered timely into credentialing system and CAQH
- Monitors CAQH revalidations, ensuring the timely processing of same
- Assists with following up with Payers regarding outstanding credentialing approvals as requested.
- Assists with annual update of liability in CAQH
Reception/Office Management
- Greets guest, visitors and employees and provide support for their needs.
- Answers all in-coming calls and direct caller as appropriate.
- Serves as main of contact for all packages/deliveries.
- Acts as the office manager by ordering and maintaining corporate office and kitchen supplies. Also coordinates lunches/dinners for trainings and meetings as requested.
- Pick-up, drop-off, prepare postage/labels for mail/UPS/FedEx, courier services, etc.
- Posts the conference room schedules outside all conference rooms each day. Maintains all conference rooms for cleanliness, including white boards.
- Helps to resolve problems associated with all building services.
- Maintains regular and punctual attendance.
- Complies with all company policies and procedures
- Performs other duties as assigned.
Requirements
- Competencies typically acquired through an Associate`s Degree (or equivalent) and 1-2 years of relevant and progressively more responsible administrative experience.
- Strong knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, etc.) and other business procedures and terminology
- Organized – excellent at time and project management, has clear systems and composure to deal with multiple tasks at once and ensures everything gets done in a timely manner
- Displays high degree of professionalism to maintain confidential information, deal with people tactfully, and help establish strong relationships and positive communication
- Strong verbal and written communications skills
- Strong attention to detail and accuracy
- Team player – proactively seeks opportunities to help others; willing go above and beyond to get the job done
Pay Range
$18.00 - $22.00 per hour
