The Administrative Assistant to the Office of the CEO assists the Manager, Office of the CEO with daily tasks and projects. We are looking for a candidate that thrives in a fast-paced environment with the ability to react and shift priorities quickly while providing a calm demeanor and delivering excellent customer service with confidence.
Essential duties and responsibilities include the following. Other duties may be assigned.
- Answer incoming telephone calls for CEO and Vice-Chair & Sustainability Strategist.
- Prepare correspondence as directed by Manager, Office of the CEO.
- Review email correspondence sent to Manager, Office of the CEO and handle as directed.
- Schedule meetings as directed by Manager, Office of the CEO.
- Assist with travel for CEO and Vice-Chair & Sustainability Strategist, event guests, or any other person as directed by Manager, Office of CEO. This will include both business and personal travel.
- Prepare expense reports for CEO and Vice-Chair & Sustainability Strategist.
- Open and sort all incoming mail to Office of the CEO.
- Maintain internal/external contact information for CEO Office and Vice-Chair & Sustainability Strategist.
- Assist with office/facility duties as directed by Manager, Office of the CEO.
- Special projects as directed by Manager, Office of the CEO (i.e. maintain donation tracking, Barters, Executive Calendar, etc.)
- Domestic travel required to attend yearly company event (Virtuoso Travel Week)
Educational and Skills Requirements:
- Bachelor’s Degree preferred
- 2 – 4 years of experience providing administrative support
- Advanced experience managing email, calendars, and meeting coordination
- Advanced skills with MS Office Suite (Outlook, Excel, Word and PowerPoint)
- Experience with travel planning and submitting expense reports (Concur experience preferred)
- Excellent written and verbal skills
- Strong attention to detail
- Must be able to maintain confidentiality
- Ability to multitask, prioritize, and problem solve in a deadline driven environment
- Experience in the travel industry desirable
Travel Requirements:
- Travel is rarely required for this position. (0-1 trips per year)
- Travel will be primarily domestic.
Type/Nature of Contacts:
- External: Regular contact with hotels, airlines, and Executive Assistants to outside Executives.
- Internal: Key job contacts are primarily with clerical and technical personnel outside of the job’s immediate work unit/department.
