Summary
This position is responsible for the entry, matching and posting of Accounts Payable and Accounts Receivable. The Accounting Assistant also handles administrative tasks within the accounting department and other duties as assigned by the Accounting Manager.
Work Hours: Monday- Friday 8:00am-5:00pm with 1-hour lunch break (flexible)
Essential Functions of the Job: (Include but not limited to the following)
- Assist the Accounting Department in functions related to Accounts Payable, Accounts Receivable and Data Entry
- Entry of purchase orders daily
- Match receiving paperwork to purchase orders
- Prepare customer invoices and credits daily
- Post all receipts to purchase order
- Resolve vendor discrepancies
- Match vendor invoices to purchase orders and receiving paperwork
- Maintain vendor files
- Enter received inventory into computer system via vendor invoice along with available discounts daily
- Forward all vendor invoices for payment approval
- Prepare all necessary backup documentation for billings (copies for title co.)
- Maintain customer database
- Answer customer credit inquires
- Post cash receipts daily
- Run accounts receivable aging as directed
- Review material usage entry for item quantities and post daily
- Reconcile and replenish petty cash as needed
- Handle telephone billing services
- Assist with answering incoming calls
- Other duties as assigned by the Accounting Manager
Required Skills & Qualifications:
- Education: Associate’s degree in related field or 2+ years of related experience preferred- not required
- Proficient knowledge of Microsoft Office Applications, including Excel
- Fluid in mathematic calculations as they pertain to financial statements.
- Ability to communicate effectively with various levels of management/advisors.
- Dependability; reliable mode of transportation
