The Phillips Brooks House Association is seeking a self-motivated bookkeeper with an appreciation for student leadership and an interest in public service for a part-time position.

Working collaboratively with the Finance staff and other offices within the Phillips Brooks House Association (PBHA), the successful candidate will have the opportunity to interface with student leaders and program staff as well as community-focused public service.

Hours: Candidates should be able to work a minimum of 4-5 hours a day, 3 days per week. Final schedule to be determined upon hiring; maximum work week will be 14 hours per week. The office is located on the second floor of Phillips Brooks House, Harvard Yard. Please note this is a part-time, no-benefits position.

Compensation: $32-$35 per hour

Job Functions:

· Provide financial accounts payable and accounts receivable administrative support to the PBHA Financial Administrator and student Treasurer, work collaboratively with internal Finance Staff

· Responsible for processing weekly reimbursement requests for student volunteers and staff by adhering to time-sensitive deadlines; monitor A/P email accounts, obtain required approvals, prepare weekly electronic A/P batches, enter completed transactions into QuickBooks Online Advanced

· Process and maintain ACH enrollment submissions; facilitate corrections, assist students

· Weekly digital scan and tracking of incoming cash and check donations with corresponding documentation received by PBHA; review and enter into QuickBooks Online Advanced; coordinate with the development team to ensure reconciliation of donor contributions, grants, and other income

· Review and prepare monthly electronic donations via Excel ensuring proper allocation of income to QuickBooks GL and designated program

· Assist the finance team and PBHA student officers during busy times, including running QuickBooks financial reports and verifying data

· Assist with various audit functions for the PBHA annual audit, including pledge and liability, AR/AP; prepare revenue testing selections by providing document scans

· General office assignments such as copying, scanning, and maintaining electronic and paper files

· Assisting with other tasks and projects as needed.

Required Qualifications:

Candidates should have strong communication and organizational skills, analytical abilities, and attentiveness to detail. Advanced computer skills (high level of proficiency with Fundraising platforms, Excel, Outlook, and Adobe), familiarity with QuickBooks or other accounting software, and editing, grammar, and proofreading skills are required. The ability to handle confidential information and act with discretion is required.
