Position Description
One (1) permanent-exempt, full-time, full fiscal year position.
Exempt employees are considered “at will” and serve at the discretion of the appointing officer.
The position grant-funded and is funded on a yearly basis. Hours are subject to change after appointment dependent upon grant status.
Under supervision, the 1404 Clerk performs office and clerical work of ordinary difficulty in connection with performing the receptionist functions in the EOPS / CARE office and related duties as required.
Job Duties
1. Perform phone receptionist duties. 2. Distribute and receive applications from general public and students. 3. Provide information about EOPS / CARE eligibility criteria, activities, procedures, policies and support services to students and general community. 4. Provide information about EOPS / CARE to City College of San Francisco ( CCSF ) faculty, staff, and potential students and general public. 5. Review EOPS applications for completion when submitted. 6. Run BANNER forms required to verify student eligibility for EOPS / CARE services. 7. Schedule student appointments with EOPS / CARE counselors, using SAR / GRID electronic appointment software and report on utilization of counseling services. 8. Schedule appointments for orientation and complete follow-up procedures. 9. Monitor and maintain reception area in an organized manner. 10. File, maintain and retrieve documents, records and correspondence in accordance with established procedures.
11. Receive and account for moderate amounts of money from the collection of fees and similar sources. 12. Assist with explaining and carrying out policies and maintaining EOPS computer area. 13. Assist with distribution of EOPS vouchers and services under supervision. 14. Communicate with EOPS students using texting platforms. 15. Assist with checking in students and marking attendance for zoom group meetings including orientation, group counseling, and workshops. 16. Sending out mass communication to students using email, text, and/or Canvas. 18. Assist with EOPS events such as the Advisory Meetings and Student Recognition Celebration. 19. Other duties as assigned.
Minimum Qualifications
One (1) year (equivalent to 2000 hours) of verifiable clerical experience including preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail.
Substitution:
Any one of the following may substitute for six (6) months of required experience:
Completion of a clerical training program (240 hours); OR
15 semester units (or equivalent quarter units) of coursework from an accredited college or university; OR
Completion of an approved City and County of San Francisco Clerical Administrative training program.
NOTE : Work experience with the District as a College Work Study student or Lab Aide (3591) Classification will not be considered or applied as qualifying experience.
Desirable Qualifications
1. Experience working in EOPS or other California Community College counseling programs. 2. Knowledge and experience working with Banner or other college student services software programs.
3. Experience assisting with front desk clerical duties. 4. Customer care and trouble-shooting experience. 5. Strong customer service skills. 6. Experience assisting with supervising student worker personnel or subordinate staff. 7. Experience with data entry or experience with Excel and other Microsoft Office programs. 8. Understanding of, sensitivity to, and respect for the diverse academic, sodoeconomic, cultural disability and ethnic backgrounds of community college students.
9. Self-motivated; excellent interpersonal skills using tact, patience, and courtesy.
Benefits
1. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full year (260 days/year) work schedules are granted, as paid days off, the days between Christmas and New Year’s Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only ( STO ) employees who are not scheduled to work the designated days between Christmas and New Year’s Day shall be granted three (3) paid days off to be scheduled by mutual agreements between the employee and supervisor. Eligible school-term-only ( STO ) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.
2. New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund ( RHCTF ).
