Job Description:
This is an entry level secretarial position responsible for performing routine secretarial tasks which may require a moderate degree of decision making. The use of a personal computer for word processing and database entry is an integral part of this position. Employees serve as secretarial support to staff of a unit or major section. The work is performed in accordance with general instructions regarding objectives, policies and procedures and is submitted in its final form. Independent judgement is restricted to the application of standard procedures to specific cases. The employee reports directly to and works under general supervision of a higher-level staff member. Does related work as required.
Good knowledge of office terminology, practices and procedures; good knowledge of English grammar and usage; good knowledge of terminology, vocabulary and letter formats used in business correspondence; record keeping ability; ability to operate a variety of office equipment; ability to use a personal computer for word processing and database entry; ability to utilize word processing database and spreadsheet programs; ability to prioritize workload; ability to understand, follow and interpret oral and written directions; ability to deal effectively with the public; good judgment; ability to handle material.
Examples of Duties & Responsibilities:
- Prepares correspondence, memoranda, reports, minutes and proceeding of meetings, hearings, conferences, and other material relating to a specialized, confidential or technical field
- Composes and types routine correspondence and reports dealing with well-defined administrative activities
- Reads and routes supervisor's mail
- Proofreads typewritten materials for spelling, grammar and punctuation
- Schedules conferences, meetings ensuring all parties are contacted and any scheduling conflicts resolved
- Makes travel arrangements securing tickets, rentals reservations and cash advances when appropriate
- Maintains and establishes confidential files and general office files
- Acts as receptionist, greeting visitors and scheduling appointments
- Orders supplies and materials for use of section
- Schedules use of departmental facilities
- Checks, codes, and processes requisitions, claims vouchers, bills
- Operates standard office equipment such as computer, copier/fax/scanner and multi-line phone
- Assist supervisor in administrative activities related to special projects such as student enrichment activities including summer program support
- Review and implement the interviewing and screening of potential program students
- Oversee and assist with social media posts and updates
- Process student applications with follow up to potential program students with missing documentation
- Answer phones, department emails and student inquiries (including completing various student forms)
- Compile relevant and important student updates to share via email newsletter bi-weekly to students and staff
- Proficient in Banner including Argos, WebFocus, Banner production, Blackboard, Starfish, timesheets, etc.
- Maintain records and assist with disbursement of laptops and returns from students
- Collect data to aid in various reports using various databases
- Guide student aides by delegating basic secretarial responsibilities
- Create documents using Word, Excel, PowerPoint and Publisher as needed

Requirements:
Required Qualifications:
- Graduation from high school or possession of an equivalency diploma, plus EITHER:
- (A) Two (2) years of paid full-time or its part-time equivalent office secretarial experience; OR,
- (B) Graduation with a diploma or certificate from a school of business or business institute with a major in Secretarial Science, Word Processing or related area, plus one (1) year of experience as defined in (A) above; OR,
- (C) Graduation from a regionally accredited or New York State registered college or university with an Associates' degree in Secretarial Science; OR
- (D) Graduation from a school of business or business institute with an Associates' degree in Secretarial Science; OR,
- (E) An equivalent combination of education and expertise as defined by the limits of (A), (B), (C) and (D) above.
- Must be a Monroe County resident.
Preferred Qualifications:
- Bilingual and able to read, write, and speak Spanish, or other languages, proficiently
Additional Information:
Job Type: Provisional*, Full Time
Hours: Monday - Friday, 8:45am-4:45pm
Salary: $32,995.27
- The term provisional means that you will be required to take the next Civil Service examination for this title, and place among the top three (3) candidates on the examination list in order to be eligible for permanent appointment.
MCC is currently testing a Pilot Telecommuting Program that runs from October 25th, 2021 to June 30th, 2023. Under the pilot program, this position may be eligible for remote work up to 5 days per pay period pending departmental need and leadership approval. The pilot program may be extended or terminated at any time at the College's discretion.
