Agency Information: Osawatomie State Hospital (OSH) is licensed by the State of Kansas to provide care and treatment for adults diagnosed with psychiatric disorders regardless of ability to pay. OSH serves individuals from 36 counties in Kansas in collaboration with 12 Community Mental Health Centers (CMHCs). The centers refer individuals for admission to the hospital through a collaborative screening process. There are currently two hospitals on the Osawatomie campus in Miami county: Osawatomie State Hospital and Adair Acute Care.

Position Summary & Responsibilities
Position Summary:
The Administrative Assistant is responsible for organizing and preparing work schedules for direct care staff to ensure that the appropriate numbers of staff are available on each work shift and providing administrative support to Administrative Officer.
Job Responsibilities may include but are not limited to the following:
Will assist Administrative Officer in developing nursing service staff schedule in accordance with hospital’s current policies and procedures. Attend to all assigned responsibilities and special assignments. Provide reports timely within a 48-hour window from due date as assigned. Demonstrate continued competency in providing core staffing for quality patient care as evidenced by work performance evaluations, quality improvement/risk management (QI/RM) reports and findings. Work diligently to find volunteers to fill open shifts work to supplement help on units. The incumbent of this position has a chance of authorized access or the potential of incidental exposure to Protected Health Information (PHI) under the provisions of the Health Insurance Portability and Accountability Act of 1996 (HIPAA) Privacy Rule. This position requires flexibility in assisting the Administrative Officer in managing daily work schedules for Nursing staff which consists of RN’s, LPN’s LMHT’s and MHDDT’s. Evaluation of the daily shift schedule is on-going and changes are required on an hourly basis. Outcomes are responsible and demonstrate capability and dedication to task. Works well with others. Is cooperative and service oriented. Arrives to work on time and at work when scheduled. Manages time well requires minimum supervision. Analytical thought is necessary for dealing with complex schedules and situations. Coordinates daily staffing schedule activities for nursing services. Will need the ability to exercise independent judgment in evaluating situations and making decisions and have the ability to apply and explain rules, regulations, policies and procedures.

Minimum Qualifications: Six months of experience in general office, clerical or administrative support work. Education may be substituted for experience as determined relevant by the agency.
