Summary:
The Sales Coordinator is responsible for the day-to-day support of the Sales department through CRM tool management, prospect management, and event coordination, and supports various projects including writing, branding, and administrative and technical support.
This position is the initial and critical first point of contact for the Sales Department which supports the smooth functioning of the office and helps the team reach collective goals. This role actively participates in the customer service program for the organization and handles a multitude of interruptions and distractions from diverse audiences.
This position is also responsible for managing community move-in and move-outs, interacting with stakeholders to provide successful transitions.
What You’ll Do:
Primary job duties will include, but are not limited to:
- Ensures all Sales calls are answered and transferred or handled appropriately in a timely manner.
- Assists with planning and implementation of sales related events.
- Provides assistance with typing, filing, organizing, copying, collating, scanning, shredding, data entry, faxing, mailing, taking minutes, and preparing correspondence for the department.
- Maintains files, processing final paperwork and money associated with payments/deposits in accordance with departmental and business procedures.
- Manages, maintains and updates the CRM database system and schedules follow up activity for staff following prospect inquiries.
- Maintains print and electronic mailings. Responsible for preparing labels, stuffing envelopes and mailing invitations (physical and virtual).
- Produces monthly sales report for Director to include Total Move In’s, Tours, Deposits, Refunds and visit summary activities.
- Supports relationships with all waiting list members by making follow up calls, follow up emails, or meeting in person as assigned.
- Works with Marcomm to ensure Sales materials are up to date and in stock.
- Manages the staging and filming of available apartments.
- Manages the move-in and move-out processes.
- Performs other duties as assigned by supervisor(s).
What We’re Looking For:
- Ability to efficiently and accurately manage several tasks at one time.
- Proficiency with Microsoft Office products including Word, PowerPoint, Excel, Outlook, Teams and comfort/familiarity with various web-based computer systems.
- Excellent customer service and hospitality focus
- 1-2 years of related experience required.
- Work experience with seniors preferred.
- Ability to communicate effectively in English (writing, speaking, and listening)
- Ability to provide exceptional customer service to residents, guests, staff and all others.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing data and records, and other office procedures
Job Requirements:
This position requires the ability to work independently on detailed and time-sensitive projects. Requires excellent telephone manner, and good command of English language. Office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday. Some evening and weekend hours may be necessary. Work schedule offers flexibility.
Materials/Equipment Directly Used:
Ability to operate multi-line telephone console, voicemail, fax, copier, computer, postage meter and scale, 10 key calculator, two-way radio, electronic door security system, Key Encoder, Emergency Alert System, DVD equipment, and HHTV (in-house television).
