STAT Informatic Solutions is a leading document management company and is looking for a Record Retrieval Specialist whose responsibilities are to procure medical records documentation, radiological images and/or pathology slides/blocks. These responsibilities will be accomplished by reviewing relevant data provided via the STAT RRS software and submitting requests for medical information via the RRS system. If so assigned, follow-up on these medical record documentation requests may be necessary to ensure timely receipt for the upcoming patient’s medical visit. All communication with healthcare providers must be documented within the STAT RRS software. In addition, the Record Retrieval Specialist should maintain consistent organizational skills to ensure all items being requested on each patient are accurate and accounted for, and coordinate the obtaining of medical records by fax, email, electronic delivery/portal and/or courier. A Record Retrieval Specialist will do the following functions when necessary: create new requests, complete medical record documentation, request radiological imaging and/or pathology slides.

Schedule: Monday - Friday, 8:00am - 5:00pm, $15.00 per hour.

Essential Functions:

  • Perform data entry to request medical records documentation, radiological images and/or pathology slides/blocks in the appropriate computer application system.

  • Identify and coordinate the method of procurement for the medical records documentation, radiology images and/or pathology slides/blocks with appropriate healthcare provider(s)

  • Create medical record documentation, radiological images and/or pathology slide(s)/block requests accurately after verifying all information

  • Provide accurate and timely updates on the status of the requested continuation of care items (verbal and/or non-verbal communication) within the STAT RRS system.

  • Contact healthcare providers on status of medical record documentation, radiological images, and/or pathology slide(s)/block(s), if necessary.

  • Escalate any medical documentation request that is nearing TAT to Team Lead, RRS Supervisor/Manager.

  • Provide quality control for all incoming medical records documentation, radiological images, and/or pathological slides/blocks (i.e. verification of data entry to ensure correct patient match with items received to in-house computer system database)

  • Create new patient database files, as necessary.

  • Obtain patient medical information releases, as necessary.

  • Organize daily tasks in accordance with request priority status, then due date.

  • Report daily productivity numbers to the immediate supervisor through prescribed methods.

  • Maintain established productivity standards.
