Receptionist/Office Support Job at Powell Property Management

We're looking for a receptionist to support our leasing and day to day property management functions. If you are highly motivated, exceptionally detail-oriented, have outstanding communication and customer-service skills, and thrive in a fast-paced environment - we'd love to hear from you!
We Offer:
· Full-time position with competitive wages ($21 - $23 per hour DOE)

This is an in-office position. Hours are Monday – Friday, 8:30 am – 5:00 pm (30 min. lunch break)
You will:
· Be responsible for the smooth, orderly function of the property management office in addition to handling customer service requests, providing leasing and resident retention support, and contributing to the team’s occupancy goals.
· Handle all telephone inquiries in a warm and professional manner.
· Warmly and graciously greets walk-in clients and tenants
· Respond to leasing inquiry emails
· Schedule showings for Portfolio Managers
· Set up New Resident files
· Update rental listings on our website and 3rd party marketing sites
· Enter work orders for maintenance issues called into office
· Process and coordinate notices of ‘Intent to Vacate’.
· Assist in preparation and distribution of Memos and Notices with direction from Portfolio Managers
· Assist in preparation of monthly notices for delinquent rent payments with direction from Portfolio Manager.
· Provide references and proof of residency for former and existing residents and maintain confidentiality regarding all resident information.
· Update our digital reader board and property access systems
· Maintain and oversee office supply needs for the leasing office
· Ensure that the supply closet and all office storage areas are organized and clean. Maintain office files in an organized fashion. Archive annually per schedule.
· Ensure that all equipment is in good working order. Act as liaison with all equipment vendors and service personnel.
· Be responsible for outgoing and interoffice mail with appropriate postage
· Maintain property key organization
· Maintain parking, storage, and key logs
Our ideal candidate will have:
· High school diploma or equivalent
· Proficiency in MS Office Applications (Word, Excel)
· 2+ years relevant experience
· Ability to work independently in a scaling and rapidly changing environment.
· Excellent organizational skills, and ability to communicate, both written and verbal.
· A strong work ethic based on a strong desire to exceed expectations.
· Ability to maintain current processes while working on improvement projects in a fast paced, hyper growth environment.
· Solid problem-solving skills and willingness to roll up one's sleeves to get the job done.
