Receptionist Job at Michael Best
Michael Best is seeking an Office Services and Reception Specialist (OSR) for our Raleigh, NC office. This position requires 40 – 45 hours a week on-site, Monday – Friday between the hours of 8:30am to 5:30pm. On occasion, additional hours (earlier mornings or evenings) may be required for specific events, projects, or initiatives.
The OSR is the first point of contact for all clients, visitors and employees and must enjoy providing efficient, gracious, and professional customer service. Additionally, they assist colleagues with drafting documents and correspondence, managing conference room reservations and set-ups and in general, assisting with other projects (printing, scanning, copying, shipping, expense reports, etc.) on an as-needed basis.
What You'll Be Doing
- Serving visitors by greeting, welcoming, and directing them appropriately – notifying Firm’s personnel of visitor arrival
- Ensure a high standard of client service
- Send out daily visitor reports to the office
- Send out pre-visitor correspondence to visiting colleagues and guests
- Light general office and clerical responsibilities – monitor phones, printing, copying, scanning, mailing
- Ensure reception area is tidy and stocked
- Coordinate conference room reservations, set up, take down, and cleaning/sanitizing of conference rooms for meetings
- Assure conference room equipment is operational through regular facility walks and testing exercises
- Catering orders for office meetings and events, as requested
- Updating spare IT equipment on a regular basis
- Basic events planning, under AOM direction, for client hosting events and recognition celebrations
- Monitoring of anniversary and birthday calendar and recognition activities
- Offering administrative support across the office – to Legal Assistants, Timekeepers and Professionals
- Completing and submitting expense reports, as needed
- Other clerical and administrative duties, as assigned
Job Requirements:
Knowledge Base & Education:
- High School Diploma (or equivalent) minimally required; higher diploma or degree preferred
- 3+ years combined experience in customer-service, administrative support, or professional services role(s)
- Prior successful experience in a professional services office setting is preferred
- Proficiency in MS Office programs, including typing and proofing skills
- Technology literacy and willingness to learn new technologies and software

- Ability and willingness to work in the office five days per week
- Ability to learn and embrace new skills and best practices as the position evolves and Firm needs change
- Ability to work quickly and accurately under pressure and varying deadlines
- Ability to work well independently as well as effectively within a team
- Ability to multi-task, set priorities, manage time effectively and exhibit excellent follow-up
- Strong organizational skills with excellent judgment and attention to detail
