The primary purpose of the Receptionist position is to represent the company by receiving calls and guests in a professional and courteous manner, handle incoming and outgoing packages, as well as general office functions such as maintaining equipment, front desk supplies and area upkeep.

Duties and Accountabilities:

  • Assist Baton Rouge Corporate office with front desk coverage such as answering phones, helping with incoming/outgoing mail, front office upkeep and decorations.
  • Assisting with packing and postage for outgoing mail.
  • Electronic File Storage Scanning
  • Food ordering for office lunches, etc. for the main office and executive team.
  • Receive and process incoming travel requests.
  • Assist with coding and invoice approvals.
  • Ordering and stocking all kitchen supplies (cups, sugar, etc.) on a daily/weekly basis.
  • Route all incoming mail for proper delivery.
  • Receive and route visitors, determine purpose of visit, direct accordingly.
  • Limit sales calls or cold calls when possible.
  • Keep front desk and lobby area neat and orderly.
  • Put up and take down lobby decorations.
  • Maintain front office supplies and equipment.
  • Provide general office support as requested by the office manager and administrative assistant.

This position is Full-Time Non-Exempt and reports to the Chief Legal Officer.

Knowledge, Skills, and Abilities:

  • Strong organizational skills
  • Proficient in 2010 Microsoft Office Outlook, Work, Excel
  • Ability to work with little daily supervision
  • Effective verbal and written communication
  • Detail oriented and willing to tackle various projects in a fast paced environment
  • Excellent multi-tasking skills with the ability to perform duties outside of scope when necessary
  • Act with professionalism at all times

Preferred Education, Experience, and Qualifications

  • Previous office/reception or administrative experience
  • Knowledge of the construction and/or engineering industry

Travel Requirements

  • Infrequent travel to company or client locations.

Physical/Work Environment Requirements

  • While performing the duties of this job, the employee is regularly required to stand and/or sit at a desk for extended periods of time.
  • Light to moderate lifting is required.
