Job Summary

Our organization is looking for an organized, outgoing Receptionist/Administrative Assistant who will usually be the first person our clients will interact with at our firm. In this position, you will be responsible for professionally representing the firm to our clients in person, over the phone, and through email and electronic messaging. Additionally, you will be responsible for making clients feel welcome, providing beverages as needed, and keeping the conference room clean. Other tasks will include answering phones, distribution and preparation of incoming and outgoing mail, clerical work as required to maintain client records, and providing administrative assistance to partners and accountants.

Essential Job Functions

  • Answer phones and greet and welcome clients
  • Distribute incoming mail and prepare outgoing mail
  • Input client data into various software systems
  • Assist clients in using the firm’s portal systems
  • Copy, scan, index, and fax documents as needed
  • Help complete tax season processes such as pre‐assembly, assembly and delivery, and processing extensions.

Position Requirements

  • Professional and friendly
  • Experience with Microsoft Office and Outlook
  • Ability to communicate with people in a professional manner in person, over the phone, and through various electronic communication tools
  • Strong organizational skills and an acute attention to detail
  • Ability to learn multiple software applications
  • Ability to understand and maintain high levels of confidentiality at all times
  • Ability, once trained, to be able to perform responsibilities with minimal supervision

Additional Information

If you are the right person for this opportunity as our client’s first point of contact, you will be working a full time, in office position. Your hours will be Monday through Friday 8:00 am to 5:00 pm. During tax season, which is typically January through April, and possibly in September and October. Overtime and Saturday work will sometimes be required.
