The Central Family Life Center, Inc. (CFLC) is a 501(c)(3) non-profit organization that seeks to improve the lives and environment of Staten Island residents. The mission of The Central Family Life Center is to provide Staten Island individuals, including children, seniors, at-risk youth, and families of varying backgrounds, with the needed services, programs, and opportunities to improve their overall well-being. CFLC is committed to reducing health disparities for New Yorkers using an innovative approach to foundational policy, communications, equity, diversity & inclusion, and partnership work. CFLC has maintained an active role in the Staten Island community for 30 years. CFLC serves the community through both educational programming and workshops, as well as through direct services designed to empower and improve the lives of the Staten Island Borough’s most vulnerable population.

The Central Family Life Center is hiring staff for a community-based violence prevention program that aims to reduce violent recidivism through intensive and voluntary therapeutic and support services. This program is part of Victims of Crime Act (VOCA) is designed to provides an opportunity for victim service providers to respond to the challenge of finding solutions for serving victims of crime, developing innovative and comprehensive ways of meeting their needs, and reaching underserved populations. There continues to be a need to expand the body of knowledge surrounding victims’ services. This includes statistical data, multi-disciplinary cooperation, evidence-based practices, and program evaluation. Evidence-based practice refers to having a definable outcome that is measurable, practical, tested, and proven effective. We need to continue to serve those victims of crime the system currently reaches, but also find ways to identify those who are not reporting crimes or seeking out services.

Position Summary:

The PA will serve as a significant support to the full CII team by providing administrative support for contract execution, compliance, and associated activities. The PA will prepare and help maintain trackers, administrative documents, schedules and calendars, compliance documents, and client-facing materials. The PA will also facilitate information-, template-, and data-sharing between the CII and CV teams by liaising with their administrative counterpart. The Program Assistant responsibilities include and are not limited to preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and demonstrate strong ability organize work using tools, such as MS Office and office equipment. The ideal candidate will be directing communications between colleagues and stockholders, managing schedules and events, collecting and entering data, bookkeeping, maintaining office equipment, and be organize and able to work as a team.

Responsibilities:

Program intake and participants and referrals applications.

Collect, file and maintain required documents. Regularly review participant files and ensure files are in proper order and in compliance with Office of Victim Services (OVS) Standards.

Collect, maintain, and report data and statistics, as needed, to the CVLN administrators.

4. Maintain and update filing system to include all grants information and records.

5. Assist with preparing documentations for grants and preparing required reports.

Regularly input and maintain database systems.

Monitor and maintain participant’s attendance and performance records and data.

Coordinate, prepare and submit program’s check request.

Prepare and submit all purchase orders for supplies, equipment, and food. Maintain inventory.

Generate correspondences, reports or other documents as required. Record minutes at program staff meetings.

Answer phones, copy, fax and scan.

Assist in developing program calendar, newsletters and maintaining social media networks.

Retain all program incident and accident reports.

Take initiative to solve problems or make clerical procedures more effective.

Develop and distribute program packets to prospects, employers and funders.

Work with community organizations to plan and develop programs that assist with referral to potential opportunity for the participants.

Coordinate and lead program information sessions.

Assist with coordination of special projects, events and activities including community service activities for participants.

Help to ensure grant compliance with federal and/or state regulations.

Attend department and agency staff meetings, one on one supervisory meetings.

Assist staff in program planning, decision-making and gathering resources.

Responsible for the organization and functionality of the department and session’s environment.

Perform other tasks as requested.

Qualifications:

A High School Diploma or its equivalency. A Bachelor’s Degree is a plus with related field or equivalent experience.

At least three-years of administrative experience in a comparable position.

Excellent public speaking, listening and written communication skills.

Be professional, polite, enthusiastic and a team player.

Organized, capable of handling multiple requests and task, detail oriented, excellent at follow-through and ability to meet deadlines.

Experience with data entry, reporting and management.

Approachable attitude; seeks to nurture relationships with participants, staff and community partners.

Be computer savvy and have strong technology skills including computer hardware, Microsoft Office, Social Networking and web based software systems.

Must have a valid NYS driver’s license with a clean driving record and own a vehicle.
