The Office of Campus Ministry at Saint Martin’s University is seeking a Program manager. The Campus Ministry Program Manager supports efforts to build a vibrant and engaging spiritual community life for all students. The position reports to the Director of Campus Ministry. The Campus Ministry Program Manager is responsible for cultivating a hospitable, responsive, and student-centered environment within the Office of Campus Ministry and supporting the administrative and programmatic operations of the Campus Ministry Office.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Campus Ministry Program Support
  • Contribute to the operational support of Campus Ministry’s events, including the Student Mass, Catholic Relief Services Saint Martin’s University Chapter, service activities, service immersions, and support for the campus ministry staff.
    • Coordinate the operations, maintenance, advertisement and supplying of volunteers to existing service-volunteer relationships with Our Common Home Farms, the Community Kitchen, and the Thurston County Food Bank.
    • Coordinate faith-based justice advocacy opportunities for students, particularly the Catholic Relief Services student ambassador program.
    • Manage student volunteers and track participation in key service relationships, developing resources for additional opportunities as needed by student/institutional demand.
    • Manage the operations, maintenance, advertisement, and event details for service immersions, including site research, program operations, leader development/support, and post-immersion tracking/documentation.
  • Manage event requests for the Campus Ministry Office/Lounge and prayer spaces on campus. Manage event planning requests for professional and student ministry events, including room reservations, room layouts, AV requests, and communication with affiliated offices such as Event Services, Diversity & Equity Center, Bon Appetit, and others.
  • Process hiring and onboarding of student workers and volunteers, including managing the schedules, availability, and pertinent information pertaining to key student leader such as the Benedictine Scholars, Retreat Leaders, Service Immersion Leaders, Catholic Relief Services ambassadors and Campus Ministry student workers.
    • Contribute to the operational support of the Benedictine Scholars Program including the coordination of meetings and sending of communications.
    • Assist the Director of Campus Ministry with the development, management, and tracking of progress for the Benedictine Scholar program.
    • Serve as the primary liaison among the Benedictine Scholar advisors and participating students. Assist the Director of Campus Ministry with the Benedictine Scholar Program as needed.
  • Support the work of Student Peer Ministers by collecting and maintaining student's schedules/availabilities, coordinating meetings, overseeing communications, and assisting with workflow. Coordinate the workflow of 2 Graduate Assistants.
  • Serve as primary minister of hospitality and hospitable access to persons and services in the Office of Campus Ministry, including maintaining of supplies, hospitality treats, etc.
  • Support Campus Ministry initiatives, including large liturgies, orientations efforts, etc.
Campus Ministry Office Support
  • Oversee the maintenance and advancement of the Campus Ministry website and social media information. The Program Assistant is the primary point of contact for website maintenance and social media programming.
  • Perform office activities, such as welcoming guests/visitors, responding to questions, and processing mail.
    • Serve as the primary point of contact for hospitality and hospitality practices in the Campus Ministry Office, maintaining hospitality services/supplies such as coffee/donuts, and directing inquiries to appropriate staff or offices.
  • Assist the Director of Campus Ministry with the development, management and tracking of the office’s annual budget, including the funds for Service, Benedictine Scholars & other.
    • Complete purchases and financial tracking for professional staff and student workers, including credit card purchases, reimbursements, cash advances, check requests, and interdepartmental transfers.
  • Support professional staff by scheduling/assisting with calendaring of professional ministers, such as the Director, and the University Chaplain.
  • Purchase office supplies and event supplies for the Campus Ministry Office, including general supplies used by professionals and student workers. Manage storage of event supplies for the Campus Ministry Office.
  • Serve as the primary liaison between the Campus Ministry Office and the Integrated Technology Services (ITS) Office.
Other Functions
  • Conduct business in a manner compatible with Saint Martin’s Catholic Benedictine identity and mission.
  • Perform other duties as assigned by the Director of Campus Ministry.

  • Is supportive of a Catholic, Benedictine philosophy of education and able to articulate and support the University’s mission statement.
REQUIREMENTS AND/OR CONDITIONS OF EMPLOYMENT
  • Bachelor’s degree in related field.
  • One or two years of job-related experience, including experience in office management, budget management, marketing, and/or event management. Education may substitute for some experience.
  • Proficiency with Microsoft Office products including Word, excel, PowerPoint, and Outlook.
  • Successfully pass a background check
PHYSICAL DEMANDS AND WORKING ENVIRONMENT
Work is performed in a standard office environment. Physical demands include:
  • Moves objects (less than 20 pounds) long distances (more than 20 feet).
  • Ability to be mobile campus wide for appropriate business needs.
