The Practice Manager at Express Health UC is the professional who will play the key role of overseeing all the administrative and business operations aspects of our urgent care center. This is a full-time position with opportunity for growth.
Description
Express Health UC is seeking a Practice Manager for our newly established urgent care facility in the five boroughs. The core responsibility of the practice manager is to ensure that the urgent care center is successful in terms of performance and patient satisfaction. The strongest candidates will have excellent responsiveness and communication skills, have a high level of attention to detail, and will take initiative on tasks and challenges to thrive in a fast-paced urgent care environment.
As the Practice Manager, you will assure the urgent care center is open and appropriately staffed during regularly scheduled hours and special events, and that all facilities and equipment are available, operational, safe, and clean. You will be responsible for a favorable patient experience and oversee the day-to-day operations of the center as well as compliance with policies, procedures, and established standards of excellence.
Responsibilities
Duties include but are not limited to:
- Create and maintain an environment of teamwork, integrity, safety, quality care, improvement, reward, and recognition at the urgent care center level.
- Communicate and ensure compliance with company policies and procedures.
- Make recommendations for new policies and procedures as needed and as part of the overall quality and compliance plans.
- Ensure policies and best practices are up to standards and regulations.
- Supervise daily operations e.g. billing, security, and occupational health and safety, and participate in clinic management meetings as appropriate.
- Contribute to the development of a capital budget.
- Monitor and maintain inventory for medications and equipment.
- Inspect and maintain records on facilities and equipment.
- Coordinate facility and equipment maintenance and other vendor services.
- Interact with patients, review patient feedback, and address patient complains and concerns.
- Ensure that requests for information are handled promptly, effectively and within HIPAA guidelines.
- Select, hire, train, schedule, and monitor quality and productivity of staff.
- Oversee the orientation of new employees, both clinical and clerical to clinic policies, procedures and protocols including but not limited to HIPAA, EMR and Practice Management system.
- Ensure staff is properly trained and equipped to perform their jobs.
- Develop monthly staff schedule, review timecards, and provide input to payroll calculation.
- Coordinate staff meetings and annual employee performance reviews, on-going training, evaluations, and recommend pay adjustments.
- Address performance and disciplinary issues.
- Collaborate with physicians and colleagues to develop patient services and business strategies.
- Identify community marketing opportunities and engage staff in grassroots marketing.
- Assist in resolving issues and complaints from patients, clinicians and staff regarding center services or activities.
- Perform front-end registration or clinical tasks as a back-up in case of absence or high demand.

- be computer literate/technologically savvy as we use many different programs and machinery.
- have financial and accounting skills.
- have in-depth knowledge of medical regulations and privacy laws, including but not limited to HIPAA, DEA, etc.
- understand health and safety standards in the medical industry.
- have superior customer service skills to handle escalated issues.
Education
- High school diploma or equivalent.
- Graduate of an accredited Medical Assistant, Nursing or Radiology Technician program preferred.
Licenses and Certifications
- BLS certified
- Clinical Certification or License preferred.
Experience
- Minimum of five years of medical office experience, preferably in an urgent care.
- Three years management experience preferred.
- Training in HIPAA, medical coding, blood borne pathogens, COR and emergency procedures, and other clinical/administrative issues.
