We are currently seeking a Patent Trademark Docket Specialist as part of our Intellectual Property team in our downtown Cincinnati office. The Patent Trademark Docket Specialist is responsible for analyzing incoming correspondence including electronic mail, hard copy mail, and other pertinent data to be entered into the IP docketing database; runs and clears daily dockets; prepares special reports for attorneys and clients; and assists with maintenance. The position includes responsibility for the docketing of both domestic and foreign patents and trademarks and for tracking all deadlines associated with the processes.

Essential Function:

  • Ability to work within a docketing system to ensure all data and deadlines are docketed correctly;
  • Maintain docket due dates and remarks in the docketing system in response to incoming correspondences; incoming patent and trademark office actions, and papers filed in the patent and trademark offices;
  • Ability to work with multiple people across different offices that have different working styles;
  • High attention to detail with data entry and auditing of Intellectual Property resources to resolve complex docketing issues;
  • Professional and effective communication with attorneys and staff, to include answering docket related questions;
  • Analyzing incoming correspondence related to the prosecution of intellectual property rights, discerning the pertinent information and entering it into the docketing database;
  • Program, run, print and deliver docket reports to attorneys, legal secretaries, and legal staff;
  • Coordinate monitoring and payment of annuities and maintenance fees, including client correspondences;
  • Perform other job related duties as assigned.

Qualifications:

A high school diploma (or equivalent), a college degree and/or paralegal certificate is preferred. Experience within a law firm or professional services environment preferred. A minimum of 3-5 years previous experience with IP docketing software program(s). Proficient in basic computer applications, strong data entry skills, and proficient in Intellectual Property docketing background. Experience with Patrix (or equivalent), iManage (or equivalent), and preferably Microsoft Excel.
