Part Time Desk Clerk - Bilingual Job at City of Elgin, IL
CLASSIFICATION DESCRIPTION
Our Parks and Recreation Department is looking for a professional bilingual front desk clerk to oversee all customer service and secretarial duties at our main entrance desk at the Centre of Elgin. As the ‘face’ of our department, the successful candidate will be presentable and friendly, with outstanding people’s skills.
GENERAL DEFINITION AND CONDITIONS OF WORK
- Greet all users as they enter in the Centre
- Register applicants for all Parks & Recreation programs and activities
- Answer all incoming phone calls and follow through on calls or transfer to the appropriate person/location
- Return all messages within a 24 hour timeframe
- Checks and reviews a variety of data for accuracy, completeness and conformance to established standards and procedures
- Collect and account for all fees in daily customer transactions
- Responsible for cash control at the front desk collect and properly record all cash, check and charge transactions
- Maintains mailing lists, files and card indexes
- Operates standard office and data processing equipment
- Provide general information on Parks & Recreation activities and facilities. Maintain the front desk in an orderly fashion.
- Performs related tasks as require.
- Must complete at the end of shift a daily reconciliation form
- Collect, open and sort mail for distribution
- Maintain a positive public image and attitude with excellent customer service
- Wear appropriate staff uniform
- Attend all staff meetings
- Abide by all City of Elgin rules and regulations as outlined in the Employee Manual.
KNOWLEDGE, SKILLS AND ABILITIES
- Minimum 21 years of age.
- 2 years min. of experience as front line customer service or similar role.
- Bilingual (Spanish speaking) strongly preferred.
- Ability to work independently.
- Excellent knowledge of MS Office (especially Excel and Word).
- Critical thinker and problem-solving skills.
- Team player.
- Good time-management skills.
- Great interpersonal and communication skills.
- Customer-oriented mindset.
- High School diploma; any additional diploma will be considered as advantage
- Ability to handle money in receiving and returning.
- Ability to enforce all rules and policies of the City at the facility in a diplomatic manner.
- Computer skills, previous recreation software experience preferred. Ability to operate general office machines: photocopier, fax machine, typewriter, printer and binder.
- Be able to handle multiple duties/tasks.
- CPR/AED certified within 3 months of employment.
ADDITIONAL INFORMATION
Hours: Must be available weekday; 9am-6pm and 2 Saturday mornings a month; 12-15 hours per week.
