The Nebraska Department of Transportation (NDOT) is seeking a responsible and customer service-oriented Office Specialist to assist with providing administrative support to the teammates in our Materials and Research Division who are responsible for the research and testing of the materials used for constructing and maintaining our state transportation system.

Pay rate for this position is $15.198. (Effective July 1, 2023, pay rate will increase to $15.957).

Examples of Work
Job duties include but are not limited to:
  • Answer multi-line phone, direct calls and paging.
  • Greet/check-in and direct visitors.
  • Process letting packages to include tagging new project plans, distributing proposals, and letting sheets.
  • Process motel bills and expense vouchers.
  • Stamp, sort and distribute incoming and outgoing mail.
  • Order supplies.
  • Maintain central project files.
  • Perform daily filing.
  • Mail and distribute test results, change orders, revised plan sheets and final inspection documentation.
  • Assist in preparation of Division special events and meetings.
  • Assist in reconciling State Procurement Cards.
  • Process invoicing.
  • Maintain electronic central filing.
  • Prepare information packets and materials for a variety of meetings.
  • Perform various clerical duties as assigned.
Qualifications / Requirements
REQUIREMENTS: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency OR experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.

PREFERRED:
  • Experience in performing office/clerical support or records management activities.
  • Experience scanning, making copies and faxing.
  • Experience operating a multi-line phone.
  • Experience with data entry and ensuring accuracy of records.
  • Experience using Microsoft Word to create documentation and professional correspondence.
  • Experience with Microsoft Excel creating and implementing spreadsheets.
  • Experience with Outlook e-mail, tasks, and calendars.
  • Experience using Adobe Professional.
  • Experience with file management systems such as OnBase.

OTHER: Regular and reliable attendance is required.
