Full Job Description:

The Legal Receptionist/Administrative Assistant is a part-time position. The incumbent must be adaptable and efficiently perform a variety of tasks in a fast-paced but lively and entertaining office environment. The incumabnt must have at least 1 year prior clerical/administrative experience with a well-rounded set of administrative and clerical skills. Experience in a legal office is preferred, but not required.

Summary:

Under general supervision, the incumbent will provide a variety of office clerical duties to support the Office. The Legal Receptionist/Administrative Assistant is the first point of contact and the face of the firm and must maintain positive enthusiasm and a professional demeanor. The
Legal Receptionist/Administrative Assistant dresses professionally, is punctual, responsible, and is multi-tasker.

Essential Job Functions:

Essential functions, as defined under the Americans with Disabilities Act, may include any of the following tasks, knowledge, skills, and other characteristics.   • Listening to voicemails and recording messages.
  • Answering phone calls/handling information requests and screening calls for forwarding to the appropriate person.
  • Calendaring client appointments, court appearances, and deadlines.
  • Sending reminder notices to clients regarding appointments and court dates.
  • Completing new client intake forms for new clients.
  • Managing tidiness of the reception area and conference room.
  • Greeting clients and other visitors to the office.
  • Checking/processing mail daily including scanning documents to the appropriate electronic filing folder and properly labeling documents.
  • Manage, organize, and maintain documents in paper or electronic filing systems.
  • Provide general administrative assistance, such as maintaining the attorney's calendar and making travel arrangements for the attorney or scheduling remote appearances.
  • Communicate with clients and witnesses.
  • Provide information and assistance to clients and potential clients.
  • Manage main law office email inbox.
  • Prepare office correspondence when necessary.
  • Prepare case files for court appearances.
  • Perform other related duties as assigned.

Knowledge, Qualifications, and Skills

  • Must be able to type 35 words per minute.
  • Demonstrated proficiency with Microsoft Office Suite, including Word, Excel, and

Outlook.

  • Experience in answering phones for a busy office is preferred but not required.
  • Must be punctual and maintain regular, predictable attendance.
  • Exceptional organizational skills and attention to detail.
  • Professional, courteous, patient, and engaging demeanor both on the phone and in person.
  • Ability to remain calm under pressure and while interacting with clients and opposing attorneys and/or parties under stress.
  • Knowledge of legal terminology (preferred but not required).

Minimum Requirements-Education, Certifications, and Licenses

  • High school diploma or GED equivalent and one (1) year of experience in clerical, administrative, or secretarial duties.
  • Fifteen (15) units of coursework in Public Administration, Business Administration,

Behavioral or Social Sciences, or a related field from an accredited college or university may be substituted for the required experience.

  • A valid State of California driver's license is required.

Job Type: Part-time

Pay: From $15.00 per hour
