BRIEF JOB DESCRIPTION: This Office Associate II position provides office and administrative support to the Bureaus of Marine Science at the West Boothbay Harbor Laboratory. Additionally, the position will provide the administrative support for the Maine State Aquarium and the Education Division.
Typical Job Duties Include: Duties include performing switchboard receptionist tasks such as answering incoming calls to the DMR laboratory, directing the public to appropriate programs and services, inventorying supplies, managing incoming and outgoing mail, assisting with mass mailings and data entry etc. Additionally, this position will support financial functions such as purchases, travel, building access and cell phone ordering and other duties as assigned. Duties in support of the education division will include assisting with a variety of communication and organization for scheduled activities such as fieldtrips, course announcements, volunteer recruitment, and surveys; fielding requests for educational materials by the public; periodic updates for website and social media platforms; and scanning historic documents/photos/slides for DMR’s archive. For the aquarium; administrative point-of-contact; provide backup for daily admissions and gift shop sales using a Point-of-Sale system; provide daily cash up at end of day; make daily runs to bank for deposits/change; and keep the inventory shelves stocked.
MINIMUM QUALIFICATIONS: Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex office support tasks that are similar in nature, and 2) the ability to use independent judgment in handling exceptions to established work assignments, priorities, and schedules. All positions in this classification assume the qualifications of: Office Assistant I, and Office Assistant II.
