Office Assistant Job at Noble Supply & Logistics
Position Summary:
The Office Assistant is responsible for running the day-to-day front desk operations of the US headquarters overseeing our Boston office, including handling all office administration. Managing U.S. operations includes facilities, asset hardware management, coordinating activities with other offices, and supporting the Executive team. Day-to-day activities include handling incoming mail, greeting clients and visitors, accepting packages and shipments as well as managing office supplies and assisting with preparations for meetings and travel coordination.
Essential Duties and Responsibilities:
- Welcomes clients, guests, and colleagues and makes them feel at home
- Sorts and distributes incoming mail, including AP and AR and maintain email boxes
- Runs the day-to-day functions of the office, including ordering supplies and “owning” the kitchen
- Assists with employee onboarding including site access and capital equipment for new employees
- Updates and maintains the company directory
- Responsible for lunch ordering for vendors and guests
- Serves as the liaison to external service providers, vendors, and internal teams
- Manage Company’s travel policy and travel agency (support executive team with travel, if needed)
- Coordinates and manages company events
- Assists Assistant to CEO and CPO and other executives on special projects, along with additional responsibilities and projects as assigned in support of business objectives
- Handles all facility-related requirements, including security systems, with the support of IT department
- Performs other duties, as required.
Experience, Education, Certifications:
- Bachelor’s degree preferred
- 2-3+ years’ experience as an Office Administer in a busy environment
- Human Resources or Business Management Systems and Procedures experience, a plus, but not required

- Strong personality with excellent organizational, problem-solving, and multitasking skills
- Exhibits a high degree of integrity, ethics, and confidentiality
- Excellent interpersonal, written, and verbal communication skills
- Excellent customer service skills and external vendor interface.
- Observant and organized with an eye to detail
- Must be able to organize work and set priorities, and work independently in an environment with competing demands
- Ability to work under pressure
Computer Skills:
Microsoft Office Suite, Google Docs, NetSuite a plus
Physical Demands:
- Typical office environment
- Must be able to lift up to 15 pounds at times (packages, copier paper, etc.)
