This position is a member of the Law School’s Student Affairs team and provides administrative assistance to the Law School’s assistant dean of students and on occasion to the dean of the Law School. The Student Affairs Office Associate manages the welcome lobby of the Student Affairs Suite, manages student-employment matters, and assists students in a variety of ways. This position also provides support to other administrators in the Law School’s Office of Student Affairs and the Office of the Law School Dean.
Duties and Responsibilities
1. Student Affairs Suite Duties: Coordinate schedule, training, and allocation of work to the suite’s student workers, usually undergraduate work-study students; maintain and provide various forms for law students (and assist students with completion of the forms); answer the Law School’s main phone line; provide administrative support to various Student Affairs programs and initiatives
2. Dean’s Suite Duties: Order and maintain supplies for the Dean’s suite; direct office visitors appropriately; maintain file systems
3. Student Employment: Handle administrative functions related to hiring, reauthorization, and payroll of student employees and research assistants
4. Orientation: Provide administrative and event support for the Law School’s Pre-Orientation and New Student Orientation programs; maintain related databases; provide creative input and assist with the preparation of materials
5. Examinations: Schedule and coordinate approved special examinations for law students; create exam rosters; assist with general exam-administration responsibilities of the Office of Student Affairs
6. Student Disability Matters: Administer non-exam classroom accommodations; maintain relevant files
7. Weekly Announcements: In collaboration with other members of the Office of Student Affairs, review and revise twice-weekly Law News online publication
8. Academic Success Program: Provide administrative assistance to the Academic Success Program, with a focus on developing and maintaining systems for tracking participation and delivering program materials
9. Graduation: Provide administrative and event support for the Law School’s hooding and commencement ceremony; maintain related databases; provide creative input and execute annual revision of graduation booklet
10. Proofread and edit documents and publications produced by various Law School administrators and departments
11. Administrative Assistance: Assist the dean of the Law School and the Law School’s assistant dean of students with filing, research, and other duties as assigned; serve as faculty assistant to the dean of the Law School and the Law School’s assistant dean of students, when appropriate
12. Coordinate with the Law School’s facilities team to arrange for certain services or amenities for students
13. Direct students and community members to the appropriate office or professional at the Law School, the Marquette Volunteer Law Clinics, or within Marquette University
14. Perform other duties and responsibilities as required, assigned, or requested
Required Knowledge, Skills and Abilities
High school diploma
Two years of related experience is required, preferably in an academic or legal setting, or equivalent.

Outstanding oral and written communication skills, including an understanding of how to communicate clearly and effectively with a professional student audience.
Computer fluency, including in-depth experience with Microsoft Word, Microsoft Excel, Outlook, and a general ability and eagerness to learn new software and database systems.
Demonstrated understanding of confidentiality in a variety of settings and the ability to maintain confidentiality of information at all times.
Highly detail oriented and organized.
Preferred Knowledge, Skills and Abilities
Bachelor’s degree, preferably with a major in English, journalism, or education
Professionalism, enthusiasm, and a sense of humor; a good attitude above all
A student-focused sensibility; the desire to support students as they pursue a professional degree.
Strong work ethic
Ability to work collegially and collaboratively, as well as independently; to work well under pressure; and to balance competing responsibilities.
