Summary: The Tradeshow Specliast/Technician supports trade shows and Technology Vans through display creation, maintenance, and installation. Defines display requirements (electrical and pneumatic). Owner of display catalog, responsible for inventory and documenting operating instruction and troubleshooting guide for all North American displays. In this role, the Tradeshow Specialist/Technician is expected to travel to North American tradeshows for booth set-up and breakdown as well as providing troubleshooting support of displays on-site at shows.
Key Accountabilities:
- Coordinates all industry tradeshows with the highest standard of detail including planning and delivery
- Manage tradeshow programs, third party vendors, and internal team to confirm equipment to be utilized for each show and the associated requirements related to electrical, air, water, tubing, and all other utility needs
- Plan exhibit structural requirements in accordance with convention center or venue, equipment installation, and overall tradeshow execution
- Learns and understands products used for tradeshow booths such as static panels and dynamic displays
- Tracks inventory; consistently monitors location of equipment, crates, tools, and other items needed for tradeshows
- Ensures correct products and inventory are loaded into crates for shipping to tradeshows
- Negotiates and contracts all meeting requirements including but not limited to hotel, transportation, food and beverage, audio-visual, support materials, etc. for national, regional, and local tradeshow related events
- Lead tradeshow preliminary meeting with in-house “clients” to gather information, implement, and then host a final meeting prior to the tradeshow with key stakeholders to reconfirm tradeshow details
- Responsible for planning tradeshow events, from contract agreements to implementation including team debrief to identify successes and areas of improvement
- Develops initial floor plan layouts with products and utilities for tradeshows to provide to third party tradeshow production company for implementation
- Maintains all records for each show/event to include policies, procedures, booth property, and personnel and ensures compliance to each association’s rules, as well as compliance with budget
- Monitors all aspect of each event/show for process improvements and offers proactive review of potential issues, troubleshooting, and resolutions
- Manages and tracks expenses to ensure projects operate within budget
- Coordinates with exhibit house to ensure logistics for each show are met on time
- Maintains knowledge of all booth and product inventory and responsible for coordinating shipments of the right booth set up and product delivery through the exhibit house for each show/event
- Collaborate with marketing management to ensure messaging, in-booth graphic elements, and promotional materials/ sponsorship initiatives are cohesive and executed on time, and in accordance with internal process requirements
- Manage trade show exhibits, including booth design and layout, shipping, vendor contracting, logistics, overseeing install and dismantle on site, and coordinating with marketing campaign owners on messaging
- Create on-site and pre-planning documents including event specifications and run-of-show
- Develops post tradeshow analysis report inclusive of final budget, show recap and observations
- Support for designing, building, updating and troubleshooting of displays to be used for shows and Technology Vans.
- Provide on-site support for events and support with booth selection, coordination of logistics and supervisory support for booth set-up and tear down.
- Ensure all materials are kept in show-ready condition and labeled accordingly
- If necessary, may be required to place on-site orders with event contractors and ensure services are provided to a satisfactory level.
- Develops tradeshow survey after each show and distributes to internal parties accordingly
- Provides weekly updates on tradeshows via Tradeshow status report
- Other tasks and responsibilities may be assigned as required.
Experience / Education Preferred:
- Bachelor’s Degree (BSEE or ME) or equivalent
- Minimum 3-5+ years experience in tradeshows and events management
- 3-5+ years' experience in trade show and events management
- Technical background related to power, air, water and utilities required
- Experience with pneumatic systems and controls, mechatronics (controls, PLCs, mechanics, programming)
- Strong familiarity with drayage, freight, shipping and other logistical elements
- Inventory management experience required
- Knowledge of trade shows booth construction and creative production a must
- Experience with developing technical floor plans, schematics and CAD’s
- Must be able to lift up to 50 pounds for trade show materials.
- Advanced knowledge of trade show strategies and tactics
- Strong communication skills: fluent english, spanish a plus.
- Excellent computer and technology skills (experience with MS Office Applications -Word, Excel, PowerPoint, etc)
- Ability to interact with all levels of people
- Ability to travel up 40 to 50%
