Primary Purpose:

The goal of this role is to find an individual who has event planning experience in a fast-paced environment. This individual must have great communication skills with the ability to navigate multiple personalities with ease, including working through challenging customer service situations with grace and respect. This role requires wearing many hats and strong multi-tasking skills. Additional duties required for this position include managing expenses for two members of our executive team and additional marketing admin duties as needed.

Major Responsibilities

  • Lead the planning and facilitation of small meetings including various customer, supplier and associate meetings. Tasks include but not limited to sourcing venues, managing budgets, hotel reservations, food, AV, ground transportation, meeting room set up, and onsite logistics.
  • Support the Director in various event-planning areas for larger format/annual key meetings and events and assist in Developing post-event reports that include client feedback, cost summaries and improvement recommendations.
  • Process invoices and manage expense reporting.
  • Prepare, print and send materials for meetings.
  • Flexibility to work after hours and on weekends as necessary.
  • Up to 25% travel for facilitation of events.
  • Understands and demonstrates ORS MEDCO'S Values.
  • Additional marketing admin duties as needed.

Skills/Knowledge Required

  • Proficient in Microsoft Office programs, including Word, Excel and PowerPoint
  • Experience in managing large event budgets with detailed tracking and understanding
  • Exceptional organizational and multi-taking experience
  • Good written and verbal communication and interpersonal skills
  • Strong organization skills and attention to detail.
  • Broad professional knowledge, project management and analytical skills
  • Able to work at a high level independently and within groups

Education and Experience

  • BA/BS in Hospitality, Marketing, Meeting Planning or related experience required
  • Minimum 3-5 years experience with meeting and event management, both pre-event planning/coordination and on-site management
